Job Description

Meyer Engineers is looking for an experience Administrative Assistant for our Metairie office. This position is responsible for providing administrative support to the executive, engineering, architectural and construction administration departments. This position will be responsible for performing general office duties such as preparing correspondence, filing, answering phones, creating proposals and reports.

Essential Duties:

  • Collaborating with project teams on project deadlines and deliverables.
  • Preparation, distribution, and file maintenance of assigned project related documents
  • Preparation, organization, and distribution of submittal documents, and proposals.
  • Maintain confidential, proprietary, and private information
  • Work closely with the executive team by assisting with their request.
  • Assistance with miscellaneous copying, scanning and organizing.
  • Assist with coverage on reception area, includes dispatching incoming phone calls, assist callers with inquiries, and distribution of mail and deliveries.
  • Assist project teams with miscellaneous projects, and procedures.
  • Provide a variety of clerical and administrative duties including running errands, making deliveries, and picking up mail.
  • Answer phones, e-mail communication as requested, compose routine correspondence for personnel and files, and maintain correspondence and other information.
  • Prepare specifications, reports, proposals and may develop other documents as assigned.
  • Schedules and organizes activities such as meetings, travel, conference, and department activities for all members and departments
  • Schedules appointments and maintain calendars.
  • Establishes, maintains and updates filing system for the department and/or department head. Retrieves information from files when needed.
  • Other duties and responsibilities may be assigned.

Requirements:

  • 5 years of administration support and coordination
  • Proficiency in software, including Microsoft Office Suite.
  • Excellent communication skills, both verbal and written
  • Must be detail oriented
  • Must have reliable transportation
  • Ability to analyze and solve problems
  • Ability to work in a fast-paced, multi-tasking environment with shifting priorities
  • Excellent prioritization, organization, and time management skills
  • Ability to work independently and adapting to change
  • Ability to adapt and assist where and when needed to help accomplish departmental objectives
  • Ability to plan, organize, and complete a variety of projects within established standards, objectives, and time frames.
  • Employee must occasionally lift and/or move up to 10 pounds.
