The Potter's House is Hiring a JDS-Administrative Assistant for Academic Affairs Near Dallas, TX

The Administrative Assistant for Academic Affairs is responsible for the coordination, and management of schedules, activities, and providing administrative support for the office of Academic Affairs. This position will report directly to the Director of Academic Affairs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Responsibilities including but not limited to:

  • Perform complex and confidential administrative support functions including developing and typing taped dictation or written correspondence. Responds to routine external correspondence.
  • Manage Director of Academic Affairs calendar and independently schedules appointments
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software
  • Screen incoming calls from staff, students, etc. and correspondence and responds independently when possible
  • Prepare memorandums outlining and explaining communications procedures and policies to internal staff.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
  • Open, sort, and distribute incoming correspondence, including faxes and email
  • Develops and maintains positive relationships with collaborating organizations, partnership schools, and multiple internal departments throughout
  • Represent office of Academic Affairs in staff meetings and other functions when Director of Academic Affairs is unable to attend
  • Organize programs, events, meetings or briefings by arranging for facilities and caterers, issuing information or invitations, and coordinating speakers.
  • Assist with project coordination for the office of Academic Affairs
  • Assist with informing potential students - over the phone, in person, and/or via email - regarding the JDS program designs and enrollment process for select educational programs as needed
  • Other duties as assigned and required

Note: Working hours may include evenings, holidays or weekends depending on deadline requirements and special events.

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor’s Degree
  • At least 3 years of administrative support experience

REQUIRED KNOWLEDGE AND SKILLS:

  • Proficient in Microsoft office suite … Outlook, Word, Excel, Power Point and Access
  • Ability to plan, assign, and direct work
  • Ability to effectively communicate with all levels of internal and external constituents both written and verbally
  • Ability to work on a number of projects simultaneously in a timely fashion
  • Ability to create and maintain database and spreadsheet files
  • Ability to arrange complex and detail travel plans and itineraries, compile documents for travel-related meetings, and accompany Director of Academic Affairs when requested.
