Accounts Payable Specialist Job Summary
The Marwin Company, Inc. is seeking a detail-oriented Accounts Payable specialist to assist as a key member of the accounting team. This role will contribute to the overall success and accuracy of the department and organization by collaborating with all functional areas of the company. This position will report onsite to the Corporate Controller.
Accounts Payable Specialist- Essential Duties and Responsibilities:
- Create and maintain vendor master files and other necessary records
- Digitize and archive invoice documents by vendor with accompanying support
- Verify the accuracy of invoices, purchase orders, and other related documents
- Process accounts payable invoices weekly via check, ACH, and CapitalOne payments
- Analyze corporate card statements for accuracy and compliance
- Provide vendors with ACH, W9, and COI correspondence
- Reconcile and process employee expense reports
- Collaborate with purchasing on deposits for prepaid inventory
- Reconcile accounts payable and vendor statements
- Respond to vendor inquiries to service and resolve issues promptly
- Assist in month-end close and accounting projects as needed
- Calculate LTL freight pricing and bill of lading error reporting
- Issue 1099s in accordance with IRS deadlines
- Support external insurance and financial audits
- Other job duties as assigned
Accounts Payable Specialist-Education and Experience Requirements :
- 3 - 5 years accounting experience
- High School diploma or equivalent is required, a post-Secondary certificate or bachelor’s degree is preferred
- Experience within a manufacturing environment preferred but not required
- Excellent organizational, problem solving, critical/analytical thinking, written and oral communication, interpersonal and computer skills (MS Office)
- Must be comfortable working with senior management
