The Malone Collective is a concierge behavioral and mental health practice in Santa Monica, CA. We are boutique, rewarding, inclusive, and collaborative. We provide sophisticated care for individuals that require more intensive support in their daily lives. We co-collaborate to organize treatment driven by the client's personal goals for success. Our modalities are both wellness and clinically based. We have practitioners ranging in expertise in areas of holistic medicine to physical fitness and everything in between. We are a privately owned organization that focuses on the quality of care and high satisfaction for every client.
Our work environment includes:
Responsibilities:
- Serve as the front desk representative, greeting visitors and providing excellent customer service
- Answer and direct phone calls, taking messages and transferring calls as necessary
- Light management of daily calendars and schedule appointments for staff members
- Assist with training and development programs for employees
- Oversee the organization and maintenance of office files and records
- Coordinate office events and meetings, including preparing agendas and taking minutes
- Manage office supplies inventory and place orders when necessary
- Ensure the smooth operation of office equipment, such as printers and copiers
- Provide support to the management team in various administrative tasks
Requirements:
- Proven experience as an office administrator or in a similar role
- Experience in hospitality industry (preferred)
- Excellent phone etiquette and communication skills
- Strong organizational and multitasking abilities
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Knowledge of medical office management is a plus
- Familiarity with phone systems and other office equipment
- Ability to work independently and as part of a team
- Strong attention to detail and problem-solving skills
