How you can make a bigger difference:
The Administrative Director provides essential administrative support to the Chief Executive Officer. This role involves managing and supervising HQ Executive Assistants, Mailroom Coordinator and ensuring Hoteling Office Reservations are carried out effectively and efficiently.
Some responsibilities include but not limited to:
  • Provide an elevated level of administrative support to the CEO maintain confidentiality.
  • Supervise Headquarters Executive Assistants and Mailroom Coordinator
  • Serve as a liaison between the CEO and internal/external stakeholders, handling inquiries and correspondence with professionalism and discretion.
  • Manage Hoteling Reservations administered by the Mailroom Coordinator
  • Manage phone calls delegating to appropriate executives and programs.
  • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Meet with Executive Staff to assess performance of Administrative Support Staff.
  • Complete annual evaluations and recommend promotions and assignment changes.
  • Ensure workload coverage during staff vacations.
  • Schedule training for Administrative staff
  • Budget and expense management ensuring that administrative expenses are managed within budgetary constraints.
  • Attend Board of Trustees meetings assisting Chief Development officer and Development Assistant where needed.
  • Have regular supervisory meetings with staff
  • Manage Temporary Clerical staff for the Executive Administration and process all invoices associated.
  • Work with Human Resources to Hire New Staff when needed following agency hiring policies.
  • Manage Executives/Administrative staff timesheets and time away requests in Dayforce.
  • Understand and promote adherence to agency policies as well as DEI (Diversity, Equity, and Inclusion)
  • Other duties as assigned
TO QUALIFY:
  • Excellent verbal and written communication skills.
  • Professional and tactful interpersonal skills with the ability to interact with a variety of personalities.
  • Strong leadership and supervisory skills with the ability to interact effectively with individuals at all levels of the organization.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with proven ability to meet deadlines.
  • Extremely proficient with Microsoft Office Suite or related software.
EDUCATION / TRAINING PREFERRED:
  • Some college education required; BA preferred.
  • 5 years of experience in Executive Administration, with at least 3 years in a supervisory capacity.
