Trinity Church Wall Street is Hiring an Administrative Director, Infrastructure & Facilities Operations Near New York, NY

POSITION SUMMARY
Reporting to the Chief Infrastructure & Facilities Officer (CIFO), the Administrative Director, Infrastructure & Facilities Operations (ADIFO) supports the CIFO in maintaining and optimizing Trinity Physical infrastructure and may occasionally serve on her behalf. The successful candidate will oversee budget development, tracking and management and will be responsible for helping to oversee the development, and execution of facility planning and management strategies to ensure a safe, efficient, well planned, and well-maintained environment.
The annual salary range for this position is $232,800 to $291,800.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Strategic Planning:
  • Collaborate with executive leadership and with staff enterprise-wide to align facility operations with mission and enterprise objectives.
Budget Planning and Oversight:
  • Collaborate with project managers, directors, and stakeholders to develop comprehensive project budgets.
  • Conduct thorough analysis and forecasting to ensure accurate budget estimations.
  • Track project expenses and variances providing regular reports to the CIFO.
  • Identify opportunities for cost savings and efficiency improvements.
  • Provide insights and recommendations based on budget analysis to support strategic decision-making.
Vendor and Contractor Management:
  • Oversee relationships with external vendors and contractors for facility-related services.
  • Oversee contract negotiation and ensure service level agreements are met.
  • Monitor vendor performance against contractual obligations and key performance indicators.
  • Continuously assess and improve budgeting and vendor management processes.
  • Implement tools and systems to streamline budget tracking and vendor communication.
Reporting and Documentation:
  • Prepare and present regular reports on facility performance, budget adherence, and key performance indicators.
  • Maintain accurate documentation of facility-related activities and procedures.
Other
  • May manage complex project implementation or lead special projects as assigned by the CIFO.
  • Adhere to confidentiality rules and all other Trinity Wall Street policies, procedures, and rules.
  • Perform all duties in a manner that promote Trinity's mission and core values.
  • Assume other related responsibilities and special projects as required.
REQUIRED KNOWLEDGE, SKILLS, AND ACTIVITIES
  • Proven experience in a leadership role overseeing budget planning for facility management and operations.
  • At least 5 years' experience managing senior level employees.
  • Strong understanding of building systems, construction, and maintenance practices.
  • Excellent leadership, communication, and interpersonal skills.
  • Qualities of self-reflection and an appetite for personal growth.
  • Knowledge of relevant regulatory requirements and compliance standards.
  • Ability to analyze complex issues and develop effective solutions.
  • Persuasive, encouraging, and motivating.
  • Ability to elicit cooperation from a wide variety of sources, including upper management, clients, and other departments.
  • Ability to defuse tension among project team, should it arise.
  • Strong written, oral, and interpersonal communication skills.
REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS
  • Bachelor's degree required; master's degree preferred.
  • Proven experience in budget planning and tracking, and vendor management.
  • Knowledge of capital project planning, maintenance & construction.
  • At least 15 years direct work experience in a management capacity.
  • Prior administrative/management experience in operational functions.
