The Heritage Community seeks to hire an Administrative Assistant for our Spark Academy. This position will primarily support the Executive Director and Clinical Director, while also assisting other leaders within the framework of the Academy. We are seeking a candidate who can enhance effectiveness by providing high-level organizational management support, all while representing the company in a professional manner. The incumbent will need to be resourceful, having the ability to multitask, along with proven effective communication skills! Schedule:
Monday – Friday, 9:00 AM – 5:00 PM.
Knowledge and Abilities:
Minimum typing speed of 65 wpm, with spelling, punctuation, and grammar skills finely tuned.
Working knowledge of technology and software, including but not limited to, Google, Adobe, Microsoft Office, etc.
Ability to work quickly and efficiently, while meeting deadlines and completing tasks of the highest quality.
Must be able to hold confidences and properly handle confidential information.
Appearance and demeanor must be that which can represent the company and Academy leadership team professionally.
Ability to effectively multi-task and work amid several distractions.
Duties and Responsibilities:
Maintain calendars and schedules for the Executive Director and Clinical Director.
Provide office support for the Academy Leadership, including clerical functions of filing, typing memos or letters, correspondence, receiving visitors, and arranging meetings and conferences.
Coordinate travel and accommodation for the Academy Leadership, as requested.
Schedule the calendar for the on-call Therapist rotation, and ensure this information is updated and visible on technology applications.
Coordinate and arrange Academy meetings, as assigned. This also includes preparing agendas, recording minutes for these meetings, and tracking action items, as appropriate.
Perform data-analysis and prepare reports for the Academy Leadership Team.
Ensure office supplies are in stock and readily available.
Qualifications:
Minimum 1-year work experience as an Administrative or Executive Assistant required.
Previous work experience in a treatment setting highly desired.
Must be at least 21 years of age or older to apply.
Proficiency and fluency in speaking, understanding, reading, and writing English.
