Position: Executive Assistant

Location: Sioux Falls

Job Description:

The Executive Assistant will perform general administrative duties for members of the Sioux Falls Senior Leadership Team and Human Resources. The Executive Assistant will handle confidential corporate information in a discrete and professional manner. Independent judgment is required to plan, prioritize and organize diversified workload.

Responsibilities:

  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Provide administrative support to Corporate and Customer Service Senior Leadership.
  • Complete day-to-day reporting and correspondence.
  • Run reports and queries plus prepare presentations.
  • Maintain and update department documentation, processes and procedures.
  • Communicate and follow through with outside agencies, vendors and customers.
  • Provide support for department managers, interacting with other employees and managers daily.
  • Coordinate calendars, meetings, luncheons, travel plans and engagements.
  • Support project management with tracking, monitoring deadlines and following up on pending matters.
  • Schedules and organizes complex activities such as meetings, travel, conferences for the Sioux Falls Senior Leadership team members.
  • Order and manage snacks, supplies or other inventory at the site.
  • Coordinate service with vendors, suppliers, and the maintenance team at the Sioux Falls site.
  • Establishes, develops, maintains and updates efiling system for the Senior Leadership Team and departments. Retrieves information from files when needed. Establishes, develops, maintains and updates efiling system when necessary.
  • Arranges corporate events to take place at or outside of the work place, such as staff appreciation events, fund-raising events, community service events, and other site related events.
  • Assist the Human Resources team with various administrative tasks.
  • Executing special projects and administrative tasks as needed.
  • Perform other duties as assigned

Education & Other Minimum Requirements:

  • Associate Degree Preferred.
  • Five years or more prior EA experience
  • Must be able to handle confidential information.
  • Must have excellent verbal and written communication skills.
  • Must have great proof-reading skills.
  • Must be comfortable with multi-tasking and working independently.
  • Must have excellent organizational skills, extreme attention to detail and a desire to work in a busy department.
  • Skilled at using general office equipment, including phones, copiers, and printers.
  • Team oriented and friendly.
  • Must be highly proficient in all Microsoft Office s Word, PowerPoint and Excel skills.
  • Ability to solve problems and resolve conflicts to achieve a positive outcome.
  • Able to work independently in a team environment without close supervision.
  • Excellent time management and organizational skills, as well as attentiveness to details and a commitment to follow up.
  • Able to effectively manage several tasks in a fast paced environment.
  • Willingness/ability to work late hours when faced with tight deadlines.
