THE FAMILY INSTITUTE is Hiring a Human Resources Coordinator Near Chicago, IL

PURPOSE

The Human Resources Coordinator is a vital part of the Human Resources team. This position plays an integral role in shaping TFI’s culture by advocating for employee well-being, cultivating a positive employee experience, and promoting employment best practices. The Human Resources Coordinator is responsible for onboarding new employees, ensuring the smooth operation of various HR processes, and serving as the first point of contact for employee questions. The Human Resources Coordinator embraces TFI’s values, mission and vision while supporting staff and management in all areas of human resources.

ESSENTIAL JOB RESPONSIBILITIES

  • Serve as the first point of contact for employees and managers; answering questions, orienting new employees, and providing a high degree of customer service to support a positive employee experience
  • Administer the employee onboarding process and facilitating new hire orientation
  • Prepare, collect, and process all documents related to employment on-boarding and off-boarding changes (new hires, status changes, separations, etc.)
  • Create and maintain accurate and up to date employee files for new, current, and exiting employees
  • Assign and respond to inquiries in HR ticketing system; track question trends and relay themes to HR team as appropriate
  • Track and prepare bi-weekly payroll changes, ensuring all personnel transactions are completed in accordance with pay cycles
  • Prepare academic department contracts and collect invoices for monthly and quarterly affiliate payroll
  • Manage credentialing for clinical employees
  • Support and recommend various employee engagement and recognition initiatives
  • Assist in maintaining the standard operating procedure log; notify HR team of changes to processes that require revisions to SOPs
  • Maintain and update HR documents and forms such as organizational charts, hire and termination reports, SharePoint content, other compliance-related materials
  • Ensure compliance and confidentiality of sensitive HR information in accordance with legal requirements and company policies and procedures
  • Maintain professional and technical knowledge by attending educational workshops and reviewing professional publications
  • Assist with benefits administration, including leave of absence requests, employee questions, and annual enrollment
  • As business needs may change, assist supervisor with other duties as assigned

SUMMARY OF QUALIFICATIONS

Knowledge and Skills:

  • High degree of accuracy and attention to detail
  • Excellent organizational and time management skills
  • Ability to collaborate with others and work effectively in a diverse workplace
  • Strong communication skills, both written and verbal
  • Ability to think critically and problem solve to resolve HR issues, and escalate as necessary
  • Self-motivated, proactive, and resourceful
  • Ability to maintain confidentiality and handle sensitive HR information with discretion
  • Knowledge of HR best practices and employment laws
  • Proficient with Microsoft Office (Word, Excel, Visio, PowerPoint, SharePoint)

Minimum Hiring Specifications:

  • Bachelor’s degree in relevant field, preferred
  • One year or more of proven experience as an HR Coordinator or in a similar HR role
  • Experience working with Paylocity or other HCM system
  • Complete professional HR certification within first year in the role

Physical and Mental Requirements:

  • Ability to clearly and effectively compose written reports
  • Limited mobility due to constant attention to computer screen
  • Ability to hear (perceiving the nature of sounds at normal speaking levels) and express or exchange ideas by means of the spoken word
  • Work requires ability to see adequately to perform work-related duties
  • Ability to comprehend complex ideas
  • Ability to develop solutions to problems
  • Ability to work under stress and successfully handle multiple projects
