Job Summary:
Handle any and all incoming inquiries, connect clients with the right solution, collect monies, manage small retail inventory, sort complaints with support of management

Tuesday-Friday 8:00am-4:30pm; 10:00am-6:30pm

Responsibilities:
Administrative Duties
- Efficiently manage all administrative tasks, including answering phones, responding to emails, and handling inquiries with a focus on providing exceptional client interface.
- Maintain organized and efficient office operations, ensuring smooth workflow.
Customer Service
- Interact with clients professionally and courteously, providing information about services, scheduling appointments, and addressing inquiries or concerns with a friendly demeanor.
- Ensure a positive customer experience by consistently delivering excellent service.
- Deescalate and resolve customer concerns at first level and be comfortable in putting them on hold if you need to escalate to Business Owner for further resolution. NOTE: our Customer satisfaction is traditionally quite high.
Billing and Payments
- Process client invoices accurately, handle payments promptly. Our entire system is integrated, so learning to use the software (Mindbody) is the key. It will maintain meticulous records for a trained user.
- Collaborate with the accounting department to ensure precise and timely financial transactions.
Appointment Scheduling
- Coordinate and schedule dog training sessions efficiently, considering trainer availability and client preferences.
- Manage appointment calendars meticulously, ensuring accurate tracking of training schedules-this is all done through our software, so you need to learn to put in accurate data.
Facility Coordination
- Monitor inventory of training supplies and maintain adequate stock levels, our integrated software for inventory management.
- ensure that your work environment is tidy
- aggregate maintenance and supplies lists
Team Communication
- Collaborate effectively with dog trainers and other staff members, both as a team member and an
individual contributor, to coordinate schedules and address operational issues.
- Communicate clearly and directly with team members to ensure efficient workflow.
Documentation
- Maintain precise records of client information, training sessions, and any incidents that occur, demonstrating attention to detail.
- Assist in the preparation of reports and documentation as required, utilizing MS Publisher for professional presentation.
Qualifications and Experience Requirements
- Minimum of 2 years of experience in office management, receptionist, or sales/marketing roles.
- Strong organizational abilities with the capacity to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills, with a focus on professionalism and clarity.
- Proactive problem-solving skills in a sometimes fast-paced environment, with the ability to think quickly and find effective solutions.
- Proficient in general computer software skills, with a minimum typing speed of 45 words per minute.
- Competency in MS Excel, Publisher, and Outlook for various administrative tasks.
- Competency is using MindBody from the business side is a plus, however, we will train
- Capacity to grasp both the big picture and the finer details of tasks and projects.
- Demonstrated ability to remain composed and focused in high-pressure situations.
- Exercise discretion and gatekeeping responsibilities to manage access to business owner, direct access to busy trainers, and sensitive information, including client contacts.
- Ability to interface directly with the business owner in a professional manner, conveying information effectively and concisely.
- Handle confidential information with utmost discretion and maintain confidentiality at all times.
- Genuine passion for dogs and dedication to their well-being.
- Willingness to attend some classes, and staff training on handling dogs for better understanding
