Essential Functions: Under the general supervision of the Associate Vice President, the incumbent is responsible for the daily operation of Human Resources Management (HRM) reception center. The incumbent organizes and provides orderly series of documents and information to employees being hired, separated, or making personal changes such as; name, address, or tax withholdings; reviews and ensures documents are completed thoroughly and accurately and follows up with employees and/or with departments to obtain additional information or to correct discrepancies; disseminates completed processing documents; inputs data and processes transactions in HRM's PeopleSoft database; receives and distributes department mail; answers and assists with calls to the HRM general office phone line; provides telephone backup coverage for all areas of HRM in the absence of area staff; reviews forms, gathers data, and modifies existing forms for internal and campuswide use; creates electronic personnel files; verifies appropriateness of documents for filing, organizing, and files documents; ensures the completion of Form I-9, including the I-9 Tracker System; answers routine questions; assists in completion of documents to enroll or change status of employees' enrollment in health and dental insurance plans, tax sheltered and tax deferred annuities, etc.; and assists in support activities, to complete required projects or meet deadlines. |
Required Qualifications & Experience: Equivalent to two years of general office experience. This position requires knowledge of filing and office practices and procedures; working knowledge of Word and Outlook; and experience with databases and the use of spreadsheets. The incumbent must have the ability to think and work independently using good judgment; enter data into the HRM database and document management system with minimal errors; communicate with tact and diplomacy; and work cooperatively and productively within a team environment. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the California State University.
