Talladega College is Hiring an Executive Assistant - Athletics Near Talladega, AL

Summary

Under the direction of the Vice President of Athletics, the Executive Assistant provides a high level of analytical, administrative, and confidential support to the Vice President on a wide variety of assignments involving the coordination of complex division and department projects. Provides general administrative support activities of the Athletics team.

Duties and Responsibilities

  • Coordinating and implementing the internal and external work flow of the Vice President.
  • Providing first-line customer service-oriented communications with all internal and external constituents including–other department and offices within college – faculty, staff administrators, direct reports and trustees and key constituents.
  • Handling the telephone, meetings calendar, and other communications – first-class mail, emails and faxes.
  • Monitoring and maintaining the Vice President’s interaction with internal and external organizations with which (s)he is associated.
  • Providing logical support including travel, preparing draft correspondence and reports, proof reading, conducting research, maintaining filed and organizing documents requiring the Vice President’s signature.
  • Handling special projects, including critical and confidential information required by the Vice President.
  • Follow up and follow through on assigned projects.
 Knowledge, Skills, and Abilities
  • Demonstrated flexibility and confidentiality in handling projects within parameters set by policies and procedures, diplomacy and customer service in handling people (i.e., confidence in representing the position in the execution of directives and the implementation of assigned responsibilities.)
  • Excellent record keeping and a working knowledge of accounting.
  • Demonstrated proficiency in the use of current high level technology and related computer programs: Microsoft Office Suites (Excel, PowerPoint and Word), Outlook, Banner/Raiser’s Edge and social media platforms.
  • Excellent organization, communication, written and verbal skills.
  • Proficiency in event coordination.
  • Able to work with minimal supervision.
  • The ability to multitask and work in a fast paced, busy work environment.
  • All duties listed are essential functions for the position. It is understood that other related duties may be assigned.
 Qualifications
  • A high school diploma is required.
