We're on the lookout for an exceptional Office Services Coordinator who embodies these qualities and is willing to work onsite daily to help us achieve even greater success.Responsibilities & QualificationsAs our Office Services Coordinator, you will be the welcoming face of our Chicago office, responsible for ensuring a hospitable atmosphere for clients, employees, and executives. Here's a glimpse of what you'll be doing:
Greet and assist visitors, clients, and our amazing team.
Liaise with building security and help provide access for all guests.
Set up meetings, book conference rooms, and help furnish guests with temporary workstations.
Prepare, collect, sort, and distribute packages and daily mail.
Answer and direct phone calls, ensuring messages get to the right people.
Keep the kitchen and office stocked with supplies and organize them neatly.
Schedule and monitor copier/plotter maintenance.
Create and track building work orders and keep common areas tidy.
Assist with event planning, including lunch meetings, and diversity and inclusion initiatives.
Collaborate with the CEO's Executive Assistant on corporate meetings, events, and celebrations.
Keep the office informed about events, administrative needs, and updates.
Coordinate with vendors for deliveries, purchases, and payments.
Review, code, and forward invoices for approval.
Assist in onboarding new hires, including IT setup and security access.
Request and file Certificates of Insurance for projects and subconsultants.
Coordinate record transfers and maintain an offsite storage log.
Other duties as assigned.
To thrive in this role, you should have:
A minimum of a High School Diploma. Additional college degree preferred.
Five or more years of previous administrative support experience.
Requires high skills in MS Word (minimum typing speed of 40 wpm and creation of reports including tables, images, multiple sections, headers/footers, and varying page sizes within the same document) and Excel (must be able to create basic addition, subtraction, multiplication, and division formulas, and create multi-worksheet workbooks, from scratch).
Must have excellent communication skills, be punctual, and be flexible.
Must present a strong, confident and professional image. It will require welcoming and regular interaction with prospective clients, executive staff, and other guests.
Ability to handle varying deadlines a necessity. This includes resolving priority of assignments and conflicting schedules.
Accuracy, attention to detail, and excellent customer service are absolute requirements.
Respect for confidentiality and discretion is necessary.
Client focused, always striving to give clients the best solutions.
Strong commitment to innovation by creating new and better ways to solve clients' toughest challenges.
High levels of integrity, always doing the right thing in an ethical, fair, and sustainable way.
