DSHS WSH Administrative Assistant 2

Washington State Department of Social and Health Services Behavioral Health Administration (BHA) is seeking an Administrative Assistant 2 to join their team located in Tacoma, WA supporting the Civil Center of Excellence at the Western State Hospital in Lakewood, WA.

Western State Hospital is one of the largest inpatient psychiatric hospitals west of the Mississippi with more than 800 beds and 2,200 employees. As an Administrative Assistant, you will play an integral part in ensuring compliance of the department by providing a wide range of administrative functions.

Pierce County employees are eligible to receive an Orca Card for transportation needs.
Opportunities performed on-site at this work location at least three days a week may be eligible for an additional 5% premium pay in addition to the advertised salary.


Some of what you will do:
  • Principal assistant to the manager of the Court Services department. Provides administrative support for Court Services within the Civil Center of Excellence. This work includes but is not limited to: creating petition templates for petitioning psychologists and psychiatrists, accessing, and distributing criminal history information from the Judicial Information System (JIS) of Washington, preparing and distributing daily and weekly schedules of court hearings, filing court documents in appropriate shared folders or other data storage sites, updating databases related to legal status of patients.
  • Establishes procedures and interprets and applies administrative policies to the work of the department. Assists in devising unit standards/procedures to ensure adherence to policies regarding tasks within the department. Develops employee training programs/courses, visual aids, or other materials, schedules and conducts presentations and/or training. Coordinates with other departmental staff members on administrative practices and procedures.
  • Works independently under little direct supervision and demonstrates appropriate initiative.
  • Develops and maintains effective and professional working relationships with diverse coworkers.
  • Pays attention to detail and follows up to ensure hospital policies and procedures are followed and problems are identified and rectified.
  • Effectively organizes schedules, tasks, files, and records.
  • Operates computer, copy, scanner, and fax
  • Proficient in Microsoft Excel, Word, Power Point, and Adobe Pro.
  • Establishes trust and credibility with others.
  • Adapts to new situations and changing circumstances.
  • Effectively communicates orally and in writing.
  • Prioritizes workloads.
  • Team player – can work alone or with others to learn or train.
  • Consistent and punctual attendance


Who should apply:

Professionals with one year of experience as an Administrative Assistant 1

OR

A Bachelor's degree in business administration, public administration or closely allied field AND two years of responsible office experience at the senior clerical level or higher.

Clerical or office work experience may be substituted for education on a year-for-year basis.

Graduate study may substitute for experience on a year for year basis.
