DSHS WSH Office Assistant 3

This is an exciting opportunity to apply your clerical office experience in support of our mission to Transform Lives.
We have an opportunity for you as an Office Assistant 3 (OA3). We're hiring two OA3's, the roles are similar, but one will float and cover wards that are vacant.
This role is at Western State Hospital (WSH), in Lakewood, WA. You will assume a wide range of day-to-day responsibilities, all of which support and provide technical assistance to interdisciplinary teams as needed. This role is located in a unit and is ultimately responsible for maintaining standardization and safeguarding of all custodial records with strict adherence to Federal and State regulations. Using your exceptional multi-tasking, organizational, communication skills, attention to detail, and you will ensure operations are running as smoothly and efficiently as possible.
Pierce County employees are eligible to receive an Orca Card for transportation needs. Opportunities performed on-site at this work location at least three days a week may be eligible for an additional 5% premium pay in addition to the advertised salary.
Schedule: Monday – Friday 7:00am – 3:30pm
Some of what you will do:

  • Perform clerical and administrative services on the ward
  • Transcribe medication orders
  • Complete paperwork for patient admissions, discharges, and transfers
  • Print daily forms necessary for the treatment team
  • Greet patients, visitors, staff, and outside care providers
  • Route phone calls to the appropriate staff
  • Organize and maintain files
  • Operate office equipment
  • Maintain and update patient photographs
  • Type and update treatment plans after each treatment planning session
  • Attend to off-ward duties such as patient accounts, mail, etc.
  • Other duties as assigned
What we are looking for:
  • Professionals with a high school diploma or equivalent
  • Two years of clerical or administrative experience, typing, filing, and telephone coverage
Preferred applicant:
  • Skilled in using Microsoft Office products such as Word, Excel, PowerPoint, and SharePoint
  • Positively contribute to a diverse and effective team environment
  • Remain focused and motivated while performing multiple, repetitive assignments
  • Excellent customer service and communication skills
