The Aging and Long-Term Support Administration, Adult Protective Services (APS) is looking for an Administrative Assistant 3 to join their office in Tacoma, WA. In this role you will work closely with professional staff and teams across the region to include scheduling, organizing and distributing relevant material as well as providing explanation of operating procedures and serving as a liaison, relaying and requesting status information.
Pierce County employees are eligible to receive an ORCA card for transportation use.

Some of what you'll do
  • Provide administrative support to coordinate recruitment with Talent Management for all vacant APS positions in the region and coordinating with human resources
  • Assist in the onboarding of new staff and provide strong customer service to candidates through hiring process
  • Perform delegate preparer activities in Flexible Agency Resource Management (FARM) and Employee Access Security Exit (EASE) for regional Supervisors, Program Managers and Deputy Regional Administrator. Ensure correct information has been entered into FARM and the HRMS system. Manage and maintain multiple data bases and analyze data for overview reports
  • Serve as the regional point of contact for scheduling all Investigative Review Team (IRT) meetings, ensuring IRT face sheet is completed and accurate, distributing necessary and appropriate documents from investigation to all panel members, and tracking the status of the investigations presented to IRT panel members. Explain regional operational procedures related to IRT to APS Investigators and Supervisors as needed
  • Manage calendar of Deputy Regional Administrator, scheduling all appointments, meetings and conference calls
  • Compose and distribute professional correspondence to staff, partner agencies and stakeholders.
  • Coordinate tasks and monitor processes to ensure timely completion of projects within the region and from headquarters

What we're looking for
  • Ability to communicate and comprehend, through oral and written forms of communication with management, colleagues, clients and the public
  • Ability and skill to work effectively with a wide variety of professional staff, internal partners and external community partners providing clarifying instructions and next steps as needed
  • Possess skill and ability to use a computer and learn agency specific software/databases as well as being proficient with Microsoft office, including Word, PowerPoint, Excel and Outlook
  • Ability to deescalate and defuse potentially challenging situations and individuals
  • Ability to research answer and/or access the correct subject matter expert to obtain correct answers to questions

Who should apply?

Professionals who have a high school diploma or GED AND three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work; OR
Formal education will substitute year-for-year for the experience.
