DSHS FFA Administrative Assistant 4
The Department of Social and Health Services (DSHS) mission is to Transform Lives. Within DSHS, join the dedicated team of professionals at the Facilities, Finance and Analytics Administration (FFA) , Consolidated Business Services 3 (CBS3), as an Administrative Assistant 4.
The Administrative Assistant 4 supports the Regional Business Chief and all of the offices CBS3 have staff working from.
This position is eligible for a hybrid telework schedule, which requires a minimum of one day in office per week. This may vary depending on business needs. Pierce County employees are eligible to receive an Orca Card for transportation needs.?
Some of what you’ll do:

  • Liaison with LFU Facility Planner and institutional facility managers
  • Designs layouts and cubicles/work stations to facilitate work flow
    Coordinates with multiple IT teams at each location to ensure staff have appropriate accesses and equipment.
  • Coordinates phone system maintenance, phone moves and updates with Enterprise Technology (ET). Maintains phone lists, seating and org charts for all of CBS3
  • Maintain local SLD numbers – submit additions, deletions, and changes to ET
  • Monitors and determines needs for office equipment, furniture and supplies; coordinates purchases and maintenance of items and anticipates future needs and priorities
  • Schedules required maintenance with Maintenance Mechanics or local building manager when emergent repairs or janitorial issues occur
  • Maintain key inventory
  • Responsible for inputting, updating, and disposing of tagged office inventory, completing annual inventory reconciliation
  • Evaluates internal controls of local office assets and coordinates the annual risk assessment process in coordination with the Business Chief
  • Coordinate building access for CBS3 visitors
  • Monitor to ensure clean and healthy work stations for all staff
  • Responsible for maintaining staff access to mailroom and notifying appropriate depts. of changes
  • Manage various conference rooms schedule, visual needs and IT support
  • Coordinate with co-located programs any building business activities
  • Provide New Hire Orientation for CBS3 staff to ensure they are familiar with protocols and evacuation routes
What we’re looking for:
  • A collaborative team member with exceptional organizational skills for coordinating schedules, meetings, and tasks prioritizing the changing needs of the team.
  • Strong communication skills (both written and verbal), and ability to provide clear communication for members of the team, leadership, and stakeholders.
  • A proactive contributor with the ability to take initiative, streamline processes, and support the director’s objectives.
Who should apply:
High school graduate or GED
AND
Four years of progressively responsible experience in office/clerical, secretarial, bookkeeping, account, or general administrative work.
Preferred/desired education, experience, and competencies:
  • Washington State Government experience related to DSHS, DVR, and/or Human Resources administrative functions.
  • Skill and ability to use Microsoft Office effectively in everyday work (e.g. Word, Excel, PowerPoint, Teams, OneNote, Visio) and learn new software applications/programs (e.g. SharePoint, SmartSheets, Adobe Acrobat).
  • Ability to work independently to establish priorities and organize
  • Ability to communicate and comprehend, through oral and written forms of communication with management, peers, clients, and the public.
  • Ability to make reasonable judgments in a complex and changing organizational environment.
  • Ability to maintain confidentiality of client and personnel information.
  • Have and maintain good work attendance.
  • Ability to troubleshoot common computer software challenges.
