Location: Olympia, WA -Hybrid (although this position is being offered as hybrid, most of the work will be conducted remotely).

The Opportunity:
The Department of Children, Youth and Families (DCYF) is undertaking a large technology modernization project, Comprehensive Child Welfare Information System (CCWIS). This position reports directly to the CCWIS Project Director and functions as the assistant for administrative matters. This position has delegated authority to act in the absence of the CCWIS Project Director on administrative matters, including managing the travel budget, purchasing equipment and service orders, facility and space management, labor relations and personnel actions, developing procedures and practices, and other administrative office functions.
Some of what you will get to do:
  • Receives, assigns, and establishes quality controls to ensure high profile and high-risk assignments, such as those from the Secretary, Chief of Staff, Director and Assistant Director are assigned to the appropriate staff or administrators for research and formulation of response within the established timeframes.
  • Plans, organizes, coordinates, and develops project-wide administrative goals, objectives, policies, and procedures.
  • Compiles and analyzes data and reviews staff and project work for completeness, making or directing changes when necessary.
  • Ensures complaints and concerns raised by clients and constituents are properly addressed and incident reporting procedures are followed.
  • Participates in strategic and planning meetings with the CCWIS Project Director, staff and internal and external customers and partners.
  • Handles the CCWIS Project Director’s administrative responsibilities.
  • Screens, prioritizes, and forwards work projects. Collects and disseminates appropriate information regarding these projects.
  • Delegated to approve leave for project staff, on behalf of the CCWIS Project Director and other divisional leadership.
  • Drafts reports, creates spreadsheets and assignment responses, coordinates and schedules appointments, meetings, and video and tele conferences.
  • Manges schedules and calendars and acts upon all delegated authorities.
Required Qualifications:
  • High School graduation or GED.
  • Four (4) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
In addition to those required qualifications, our ideal applicant will also have some or all of the following:
  • Demonstrated ability to use good judgment when evaluating and making decisions in complex and changing organizational environment.
  • Demonstrated ability to maintain confidentiality of client and personnel information.
  • Demonstrated ability to work independently to establish priorities and organize work to enable completion of assigned tasks through exercising good judgment, problem solving ability and multi-tasking to complete all assignments.
  • Demonstrated ability to interpret in-depth travel guidelines, including DCYF accounting policies, SAAM policies and OFM regulations.
  • Demonstrated working understanding of agency policies, WAC, RCW, and federal requirements related to agency and divisional work.
  • Demonstrated ability to effectively, clearly, and concisely communicate with management, staff, peers, clients and the public as required to carry out the assigned duties of the position. This includes ability to draft legal and professional correspondence.
  • Demonstrated skills in the use of MS Office (Outlook, Excel, PowerPoint, Word, and Visio), Adobe Pro, other electronic database systems, and virtual interactive programs like Teams and Zoom.
  • Demonstrated skills in keyboarding or typing accurately at a net speed of 50 words per minute or faster.
  • Demonstrated skills in the use of FamLink, ACES, Bar Code, and other agency and relevant state databases.
  • Demonstrated ability to analyze sensitive issues in an objective and realistic manner and provide advice and consultation on these issues.
