Brief Description Of Duties And ResponsibilitiesThe primary work duties and responsibilities for this position are to:
  • Public Records
    • Assists the Agency Public Records Clerk in tasks related to public records requests as follows:
      • Acknowledges r eceipt of public records requests and obtains necessary clarification from the requester.
      • Process the public records requests using the appropriate internal system(s).
      • Under limited supervision, processes complex requests and assists with subpoena responses.
      • Reviews records for exemption criteria in accordance with Florida Statute, Chapter 119 and redacts information in document(s) when applicable.
      • Tracks status of requests and serves as liaison between requester and relevant business office(s);
      • Prepares and tracks status of invoices
    • Advises Public Records Office Supervisor of current and potential issues related to requests or public records office processes and when appropriate, recommends solutions;
    • As directed, assist with the retention, storage, and disposition of office records.
  • Acts as Backup Agency Public Records Clerk in the Clerk’s absence.
    • Manage the day-to-day operations of the Public Records Section:
    • Run daily public records request reports.
    • Distribute Public Records Reports as required by the OIR Public Records AP&P.
    • Assist with training new public records staff.
    • Assist attorneys with producing documents related to subpoenas and discovery requests.
  • Administrative Support
    • Provide administrative support to the unit Supervisor and other assigned attorneys including:
      • Assists in conducting daily administrative activities for attorneys including, but not limited to:
        • answering attorney telephone calls as directed;
        • preparing and transmitting correspondence;
        • maintaining calendars,
        • scheduling appointments, conference rooms, and conference calls;
        • processing orders; tracking company payments;
      • Create, organize, and maintain case files; update case calendars and timetables; and ensure case file is updated in the Legal tracking system.
      • Arrange meetings and hearings including space, time, and place; provides participants with background information as directed by the attorney.
      • Arrange for court reporters and service of process and/or publications and processes any related invoices.
    • Make travel arrangements and prepare related documents.
    • Prepare documents for reimbursements not related to travel .
    • Answer the Legal Service Office main telephone line and direct calls as appropriate.
    • Assists with personnel tasks such as onboarding and separation of employees; ensuring the offices are prepared for arrival or are appropriately emptied upon separation.
    • Ensure printers are adequately supplied with paper and common workstations are organized. Notify office management if supplies need to be ordered.
Additional Work Duties And Responsibilities Are To
  • Serves as backup to other office support staff on as-needed basis.
  • Provides litigation support; prepares trial notebooks and exhibits; prepares data compilations as needed; examines documents to assure accuracy, completeness, and conformity to judicial rules of court.
