The role

StarRez is growing rapidly, and the Strategic Programs team is looking for a talented Project Coordinator to join our North American team.

The Project Coordinator will play a pivotal role within the Strategic Programs team, contributing to the organization’s operational efficiency and project execution. This role demands a highly organized, detail-oriented individual capable of managing multiple tasks and supporting various logistical and coordination needs.

The Project Coordinator will work closely with the Executive Leadership Team, Executive Committee and Board of Directors, presenting an incredible opportunity for future career growth and connection to the Vista ecosystem.

What you’ll do

  1. Executive Logistical Support:
    • Manage logistics for board meetings, Executive Leadership Team (ELT) meetings, and on/offsite planning.
    • Coordinate schedules, venues, materials, and necessary arrangements to ensure smooth execution of executive-level gatherings.
  2. Office Logistical Support:
    • Undertake special projects related to the Denver Office and occasionally for the Melbourne Office.
    • Coordinate with internal teams and vendors to facilitate office improvements, onsite organization, or event management.
    • Lead logistical preparations for high-level office engagements (i.e., Board meetings, Customer Advisory Board meetings, and organizational meetings and trainings)
  3. Value Creation Project Coordination:
    • Support 1-2 small-scale Value Creation initiatives under the guidance of the Director of Strategic Programs or Strategic Program Manager.
    • Assist in planning, tracking, and reporting on project progress, ensuring alignment with strategic objectives.
  4. In-Office Collaboration and Project Execution:
    • The role requires working from the Denver Office (Denver Tech Center) 2-3 days weekly and/or as needed for the effective execution of projects or special events.
    • This dedicated office time is crucial for fostering collaboration, ensuring seamless project management, and facilitating hands-on support for strategic initiatives and special events.

Required Qualifications

  • Bachelor's degree or equivalent experience
  • At least 1 years of experience in project coordination or management, preferably within a corporate or strategic programs setting. This experience should include planning, executing, and tracking project progress, demonstrating the ability to manage multiple tasks simultaneously with a high level of organization and attention to detail.
  • Exceptional communication and interpersonal skills, with the ability to interact effectively with all levels of management, staff, and external partners. This includes proficiency in written and verbal communication, with a strong emphasis on clear and concise reporting, presentation skills, and the ability to facilitate collaboration across diverse teams. 

Preferred Qualifications

  • Experience with Project Management Software: Proficiency in project management tools and software (e.g., http://Monday.com , Trello, Microsoft Project, JIRA) to efficiently plan, execute, and track project milestones and deliverables.
  • Effective communication and collaboration using Outlook, Slack, Zoom and In Person.
  • Analytical and Problem-Solving Skills: Strong analytical skills with the ability to assess complex situations, identify critical issues, and develop effective solutions. This includes experience in risk management and contingency planning
  • Adaptability and Flexibility: Demonstrated ability to adapt to changing priorities and manage multiple projects with varying deadlines. A flexible approach to project management that accommodates evolving project scopes and objectives.
  • Experience in a Hybrid Work Environment: Prior experience working in a hybrid environment, displaying the ability to effectively balance remote and in-office work, maintaining productivity and collaboration across different settings.
