Job DescriptionPosition Details: We are looking for a responsible Administrative Assistant to perform a variety of administrative tasks associated with our Onsite Courses. Duties of the Administrative Assistant will include but are not limited to providing support to the Onsite Course Coordinator, managers, and other employees, assisting in daily office needs, and managing general onsite course needs. Job Responsibilities: Attend and participate in weekly onsite course planning meetings Answer and respond to phone calls and voicemails Organize, prioritize, pack/ship, and track onsite course shipments Interact through email and phone calls with shipping companies (UPS, Fed-EX, and DHL) to coordinate international shipments between clients and customs brokers Maintain up to date shipping contact information and international customs procedures Correspond with company representatives concerning shipping and tracking course materials and resolve any questions or concerns Create, maintain, and file any and all course correspondence Maintain an organized workspace and shipping area Order stock items (shipping supplies, shirts, hats, playing cards) Maintain sufficient stock through inventory transfer with Allegra Marketing and Print Solutions Enter accurate attendee information in database to generate electronic and hard copy certificates Correspond with Course Quoters, Market Leads, and the Accounting department when course inquiries arise Inform staff of incoming mail and distribute. Coordinate UPS deliveries and pickups Report to and work closely with Onsite Course Coordinator. Manage important functions in the absence of the Onsite Coordinator Qualifications: Confirmed experience as an Administrative Assistant or Office Admin. Assistant Knowledge of office procedures, professionalism, and being a Team Player Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task Self-starter, excellent time management skills, and the ability to prioritize daily work schedule Attention to detail and problem solving skills Working knowledge of basic office equipment Basic knowledge of Microsoft Office - Word, Excel, PowerPoint, and Google Docs. Knowledge of shipping software would be a plus but not required
