St. Augustine Lighthouse & Maritime Museum is Hiring a Facilities Operations Manager (FOM) Near Saint Augustine, FL

Job Summary:
The Facility Operations Manager (FOM) provides leadership, management, and supervision to the maintenance personnel of the SALM campus facilities, grounds, physical plant, and offsite properties. He or she maintains and monitors the department budgets, vendor contracts, purchase agreements, and facility project bids in consultation with department directors. With over 220,000 annual visitors, the historic site is a highly visited campus with a variety of special programs, events, and rentals occurring throughout the buildings and grounds. The FOM is responsible for all aspects relating to the operation of the buildings, including the mechanical systems (heating, air conditioning, and ventilating systems); plumbing and electrical systems; and roofing. The security and long-term care of the museum’s buildings and grounds fall under the purview of the Facility Operations Manager, who must be forward-thinking and able to anticipate problems. The expectation is for the manager to have a critical eye toward organizational best practices and improvement. The manager must be hands-on and able to communicate with staff about the ongoing work plans required to meet the needs of the organization. He or she will implement and oversee an ongoing safety training program for museum staff and volunteers and will serve as the primary company safety officer.
The Facility Operations Manager is the first person directly responsible for leading a light-keeping team to insure the nightly operation of the lighthouse as a private aid to navigation, reporting any discrepancies to the U.S. Coast Guard Aids to Navigation team (ATON), Sector in Jacksonville, FL.
Major Responsibilities:
Maintenance and Site Operations:
  • Works with the Executive Director in establishing and executing annual departmental goals; prepares annual maintenance department budget and provides oversight and reporting.
  • Responsible for all maintenance and safety inspections of museum facilities, repairs, and the preservation of physical structures, working within historic preservation guidelines from the State Historic Preservation Office and consulting with Historic Preservation Architectural Services for the historic structures.
  • The FOM is charged with hiring, training, developing, and managing the facilities team to assist with facilities maintenance and to support all internal and external events.
  • Develop and drive the implementation of the museum’s long-term facility maintenance plan including developing cyclical maintenance and preservation schedules for all buildings. Conduct and record cyclical maintenance tasks to include repairs, mechanical systems, exterior and interior paint applications, and overall site observations.
  • Work with department heads to develop and maintain an annual asset plan to ensure fiscal management and optimal working condition of facilities, equipment, and machinery.
  • Coordinate with other departments that are planning events to ensure proper setup, security, and cleanup for all museum events while still allowing for the daily operation of the site.
  • Develop and prioritize daily, weekly, and monthly facilities tasks; schedule the facilities team to ensure proper coverage and support.
Training and Historic Preservation:
  • Hold annual training sessions on topics relating to museum safety and hurricane preparedness. The FOM will also provide digital education content for staff and volunteers to be accessed on the company’s Igloo intranet.
  • Provide/acquire training on appropriate historic building maintenance, repair procedures, and materials. Become familiar with best practices related to collections care.
  • Work in collaboration with the Curatorial Department to train curators on lens operation.
  • Engage with specialists to assess historic preservation needs. Document building treatments, materials used, and other relevant information in the Historic Structures Report in collaboration with the curatorial department.
Inspection:
  • Work with department directors to ensure compliance with and organization of inspection teams to satisfy the National Park Service, General Services Administration, and the State Historic Preservation Office required in consultation with department directors.
  • Prepare, submit, and maintain the National Park Service’s compliance reports.
  • Schedule monthly staff inspections of the physical site. Set up quarterly department teams to walk the site for specific inspections and document results.
  • Manage and validate the work of outside maintenance vendors and contractors who provide additional services to the museum on a daily, monthly, or annual basis. Schedule routine inspections and as-needed repairs with outside vendors.
  • Write reports on inspections, maintenance, repairs, safety, and other events.
  • Manages safety training, security systems, and key access for all staff and volunteers.
  • Responsible for conducting and/or coordinating staff safety training programs, especially procedures for building maintenance and risk reduction, in an effort to assure safe and effective cyclical tasks are considered annually.
  • Annually review/update the Disaster and Emergency Management Plan; present the emergency plan to all staff in May. Prepare and update the call list and post evacuation plans throughout the site and at any offsite buildings. Work with the HR Director to update these plans and have them posted by June 1 of each year.
Community Engagement:
  • As the Head Lighthouse Keeper, serves as main lighthouse contact of our active, private aid to navigation in the nation’s oldest port city for the U.S. Coast Guard.
  • Ability to work effectively with board, staff, volunteers, and the Museum’s many constituents, including vendors, consultants, and contractors; represent the Museum with a high level of professionalism and integrity.
Compliance and Administration Communication:
The Facilities Operation Manager will communicate with all maintenance staff daily and with the Executive Director and department staff regularly to accomplish overall goals, meet curatorial best practices, and set up for programs. He or she will act as the staff liaison for the Board of Trustees Facilities and Risk Management Committee, regularly reporting any pertinent information or concerns for committee review.
Essential Functions/Physical Requirements:
  • This position requires strong computer and internet skills, writing skills, and excellent verbal presentation skills. He or she must be versed in all aspects of site preparation.
  • Organization skills with demonstrated ability to prioritize tasks and manage workflow for efficient operations.
  • Ability to administer complex activities simultaneously and analyze administrative problems while developing alternative strategies.
  • Must be experienced with and able to use hand tools, power tools, and equipment. Ability to operate machinery, climb ladders, lift 30lbs, go up and down stairs, and sit or stand for extended periods
  • Demonstrated experience in Microsoft Office including Word, Excel, and Outlook preferred.
The duties above indicate the essential functions of the job. Must be able to climb the stairs in the lighthouse tower and perform required duties for periods of 2.5-3 hours standing. Operational flexibility is required to meet sudden and unpredictable business needs. Evening and weekend work may be required. Portions of the job will be carried out in a typical Florida outdoor environment.
