Description

SNAP is seeking a qualified individual for an Administrative Support Specialist position to work in SNAP’s Housing Services Core. Join a growing team helping your community thrive.

Starting salary for this position is $19.75-$22.11 per hour DOE

Full salary range is $19.75-$31.13 per hour

Benefits include medical, dental, life, LTD, PTO and 403(b)

Position Summary: Supports the Asset Management & Housing Development Team by providing various services that assist staff with administrative duties. Emphasis is focused on managing portfolio invoices, monitoring budget expenditures, handling sensitive tenant information and forms, maintaining portfolio waitlists per fair housing rules, participating in long-range planning for the department, and preparing required reports.

Principle Duties and Responsibilities:

  1. Receives, reviews, and manages wait list applications for portfolio.
  2. Manages portfolio waitlist operations, including updating with new applications, removing non-responsive applicants, and contacting applicants for upcoming vacant units.
  3. Responsible for providing support when needed to ensure that all applicable regulations about an applicant/resident’s eligibility for occupancy are followed.
  4. Operates computers and other office equipment.
  5. Responsible for answering the Asset Management direct phone line, reviewing voicemails, and returning calls as appropriate.
  6. Receives, reviews, and appropriately enters invoices accurately. Focus will be placed on ensuring invoices are coded accurately.
  7. Plans and carries out special projects that require analysis, evaluation, and interpretation.
  8. Performs office support duties as needed, such as entering purchase orders and travel arrangements.
  9. Properly implement property tenant selection plans as appropriate.
  10. Other duties as assigned.

Qualifications


Requirements:

Education and Experience

  • Required: High School/GED and at least five years of experience in administrative support or a related field.
  • Preferred: High School/GED or equivalent; strong preference for lived or professional experience related to low income, underserved populations, with varied economic circumstances. Eight years of experience in administrative support or a related field.

Knowledge, Skills, and Abilities

  • Ability to empathize with and advocate for low-income and vulnerable people and to maintain confidentiality with personal information.
  • Thorough knowledge of computer systems like Microsoft Outlook, Excel, and SharePoint.
  • Well-organized, with solid skills in time management.
  • Strong communication and interpersonal skills, emphasizing effective working in a team environment and with a diverse population.
  • Ability to learn new complex systems.
  • Resilient and able to shift priorities and track details.
  • Experience in multi-family affordable housing tenant selection process is a plus.
  • Analytical skills and the ability to plan and coordinate tasks to completion.
  • Physical strength and agility may be necessary to transport boxes of materials and supplies.

Training and Certifications

  • Valid driver's license and good driving record
  • Fair Housing Essentials & Specialist Training or the ability to obtain it within 30 days of hire.
  • Other training as warranted for the program (training provided)

Work Environment/Physical Activities:

This is a full-time administrative office position with a 37.5-hour work week, Monday through Friday, 8:00 a.m. to 4:30 p.m. Occasional night, weekend or travel may be needed. The position reports directly to the Affordable Housing Development and Asset Management Coordinator.
