ABOUT THE ROLE

As our Senior Accounts Payable Business Partner, you'll be the financial backbone of our high-octane operations, managing a whirlwind of purchase orders and overseeing a Junior Bookkeeper to ensure efficient workflows. With hundreds of productions and thousands of images created each year for major retail clients like Target, Nike, and Sephora, your ability to handle high-volume purchase order processing, cost management, and team leadership will be instrumental to our success.

HOW YOU WILL CONTRIBUTE

• Efficient PO Processing: Streamline the workflow for processing a high volume of purchase orders, ensuring accuracy and timeliness.
• Vendor Management: Maintain vendor information, facilitate smooth communication, and nurture strong vendor relationships.
• Inventory Tracking: Monitor POs and reconcile them with received goods/services to maintain accurate inventory records.
• Budget Control: Track expenses against budgets, obtain approvals for larger expenditures, and ensure financial alignment.
• Reporting and Analysis: Generate comprehensive reports on purchase orders, expenditures, and vendor performance for informed decision-making.
• System Integration: Seamlessly integrate the PO system with other tools, ensuring data consistency and efficiency.

PRIMARY RESPONSIBILITIES

• Supervise and mentor a Junior Bookkeeper, providing guidance, training, and performance feedback.
• Process and track a significant volume of purchase orders for production-related expenses, including equipment rentals, studio bookings, talent fees, and more.
• Collaborate closely with our rockstar Producers to understand project requirements and maintain strict cost control measures.
• Perform invoice data entry, account reconciliations, and general ledger maintenance in NetSuite (advanced skills required).
• Assist in budget forecasting and financial reporting for individual productions and overall operations.
• Ensure compliance with company policies, procedures, and financial regulations.
• Maintain accurate and organized records of all financial transactions and documentation.
• Identify opportunities to streamline processes and enhance efficiency in purchase order management.
• Stay abreast of industry trends and best practices to optimize financial operations.

OUR IDEAL CANDIDATE

• 5-7 years of experience in accounts payable or a similar financial role, with at least 2 years in a supervisory capacity.
• Proven experience in high-volume purchase order management and cost control processes (logistics or production background is a major plus).
• Advanced proficiency in NetSuite or similar accounting software (1 year of direct experience required).
• Excellent attention to detail and organizational skills (because let's be real, the devil is in the details).
• Ability to work in a fast-paced environment with strict deadlines (we move at the speed of light around here).
• Strong communication and interpersonal skills (you'll be collaborating with our creative rockstars daily).
• Ability to maintain confidentiality and handle sensitive financial information (discretion is key).
• Bachelor's degree in Accounting, Finance, or a related field preferred.
