We are seeking an intuitive, trustworthy, fearless, and self-motivated Executive Assistant to join the team. This is a great opportunity to jump into a role where you will learn a lot about business with plenty of new challenges and responsibilities for you to develop and further your professional career. As an Executive Assistant you will work for the owner of South Jefferson, and their many affiliated businesses. This will include everything from special projects, assistant duties, event management, to calendar, Gmail, and Slack management, and even taking meeting notes. This is a role where you will wear many hats and have incredible access to a wide swath of businesses and high-level conversations.
Beyond those duties there are also opportunities to support the various businesses and initiatives the owners are involved in. You will have the chance to work in partnership with leaders across these companies in every department and learn the ins and outs of the businesses.The ideal candidate will be interested in growing beyond the role through mentorship and training, be a fast learner with experience using sound judgment while working in a fast-paced, ever-changing environment, and have excellent prioritization and multitasking abilities to complete many complex tasks with no supervision. This role will require you to be a self-starter, who takes a proactive and positive approach to their work and seeks opportunities to create value. We are looking for someone who is a detail-oriented planner with a demonstrated ability to communicate and respond effectively and efficiently while maintaining flexibility and a sense of humor!
What You Get to Do
- Calendar management and admin support (scheduling, research, communications, special projects)
- Manage external vendors and contractors for various businesses
- Distill and organize data/information and deliver the most important aspects of complex topics and moving pieces
- Own and support cross-business coordination; be able to swiftly prioritize and multi-task based on severity level and strong business judgment
- Manage meeting agendas, attendee lists, events, and post meeting action items
- Design and create deliverables; aggregate information from across companies into cohesive, outcome-oriented documents
- Coordinate extensively with other teams in the various companies
