Sketch Design Studio is Hiring an Office Manager Near Boca Raton, FL

Our Client, a luxury interior design firm, is seeking a dedicated and highly organized Office Manager to oversee the administrative operations of their design studio. The ideal candidate will be responsible for managing office logistics, coordinating administrative tasks, and supporting various departments as well as companies to ensure seamless workflow and efficiency. This role requires a proactive individual with excellent communication skills, attention to detail, and a passion for luxury design.

Key Responsibilities:

Office Administration:

  • Manage day-to-day office operations, including office supplies procurement, equipment maintenance, and facilities management.
  • Oversee reception duties, including greeting visitors, answering phone calls, and handling incoming mail and packages.
  • Maintain office cleanliness and organization to create a professional and welcoming environment for staff and clients.

Administrative Support:

  • Provide administrative support to senior management and design teams, including scheduling appointments, managing calendars, and preparing documents and presentations.
  • Coordinate travel arrangements, accommodations, and itineraries for staff and clients as needed.
  • Assist with project coordination tasks, such as preparing project timelines, tracking deliverables, and liaising with vendors and contractors.

Human Resources:

  • Assist with the recruitment process by posting job openings, scheduling interviews, and facilitating onboarding for new hires.
  • Maintain employee records, including timesheets, vacation requests, and performance evaluations.
  • Coordinate employee training sessions, team-building activities, and other HR initiatives to foster a positive and collaborative work culture.

Financial Management:

  • Assist with budget planning and expense tracking for office operations, including office supplies, utilities, and maintenance services.
  • Process invoices, expense reports, and purchase orders in a timely and accurate manner.
  • Collaborate with the finance department to ensure compliance with accounting procedures and financial reporting requirements.
  • Process weekly payroll

Event Planning and Coordination:

  • Plan and coordinate company events, meetings, and presentations, including venue selection, catering arrangements, and logistical support.
  • Assist with marketing and promotional events, including trade shows, product launches, and client appreciation events.
  • Collaborate with the marketing and sales teams to develop event strategies and enhance brand visibility.

Qualifications:

  • Bachelor’s degree in business administration, Office Management, or a related field (preferred).
  • Proven experience in office management or administrative support, preferably in the luxury interior design or creative industry.
  • Strong organizational and multitasking abilities with a keen attention to detail.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Quickbook experience required.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and office management software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.

Job Type: Full-time

Pay: From $75,000.00 per year
