Sheppard Mullin Richter & Hampton LLP is Hiring a Remote Records Manager

Sheppard, Mullin, Richter & Hampton LLP, a global Am Law 50 firm, is seeking a Records Manager.
We prefer candidates who can work from our Downtown Los Angeles office, but will consider other candidates who can work from one of our other California offices. The other offices we are considering are: Century City, Orange County, Downtown San Diego, Del Mar, Silicon Valley, or San Francisco. There is only one opening.
The Records Manager is responsible for directly managing the Firmwide File Center staff and disposition staff. The role is responsible for implementing the Firm's strategic plan relating to the effective management of physical client information. This plan involves a portfolio of initiatives which include, but are not limited to, the organization of outbound and inbound information and the efficient application of established retention practices in accordance with Firm policy.
This role requires extensive knowledge of legal recordkeeping, both physical and electronic; experience with technology solutions related to records management and tactical project skills to ensure the integrity of records and related metadata over the required lifecycle of records as information systems are upgraded or replaced.
The Records Manager is expected to perform all duties with a commitment to superior service, quality work product and an atmosphere of teamwork and continuous improvement. The Records Manager must fulfill the needs of all the File Centers in every Office in a manner which is consistent with the Firm's visions and values.
Responsibilities:
  • Evaluate and review current records management processes in order to develop standardized practices across offices, consistent with appropriate regional needs and requirements, to improve efficiency and adherence to Firm data management practices. Monitor the adoption of standardized processes.
  • Develop best practices for records information management (RIM), including providing input on the use of technology solutions including workflows, integrations and analytics.
  • Serve as the main point of contact and ensure exceptional customer service to Firm personnel and departments requiring records management assistance and/or guidance.
  • Implementing records retention policies and procedures; ascertaining which files are subject to retention; communicating with attorneys and clients regarding the disposition of physical and electronic files; maintaining meticulous records regarding file disposition.
  • Responsible for managing the access policies via InTapp Walls.
  • Provide oversight and direction as needed to ensure that work performed meets quality and service standards through observation and metrics review.
  • Supervise staff, conduct performance evaluations, monitor attendance and implement training programs.
  • Develop and manage information on the File Center Department intranet site.
  • Interact with clients, attorneys, and professional staff at all levels to support the records management needs of the firm.
  • Special projects involving data management as assigned by Director of Information Governance.
  • Addressing high priority access requests, troubleshooting issues or project work.
Essential Functions of Job:
  • Subject matter expert for Records Management and represent department in projects involving data storage or access.
  • Liaise with the firm’s offsite storage and shred vendor(s) on services and assesses vendor’s service levels in relation to the Firm’s business and legal requirements.
  • Ensure File Center staff and Records Analysts work effectively and efficiently to accomplish daily tasks and local or Firm projects.
  • Assess daily demands, develops work plans, and assigns tasks and special projects to File Center staff and Records Analysts.
  • Meet with new firm personnel for Records Management overview as necessary.
  • Comfortable learning new systems, software and skills.
  • Developing, implementing, and updating departmental policies and procedures.
  • Excellent interpersonal skills and ability to work effectively with a diverse group of internal and external clients, attorneys, and staff.
  • Ability to manage confidential information and sensitive situations with tact and discretion.
Supervisory Responsibilities:
Direct supervision of firm employees and indirect supervision of contracted staff.
Qualifications and Experience
Required Qualifications:
  • Minimum 5 years of records management experience in a law firm and/or professional services environment.
  • Minimum of 3 years supervisory experience in a records management role.
  • Possess excellent leadership skills (i.e., organizing, planning, problem-solving, and decision-making) necessary for effective management.
  • Dependable team player, able to follow written and oral instructions, and excellent judgment about when escalation is necessary or appropriate.
  • Demonstrated initiative, commitment to professional growth for self and others.
  • Excellent organizational skills including record keeping, data collection, and system information.
  • Superior time management skills, including the ability to set priorities, flex with changes in requirements and meet deadlines.
  • Ability to handle pressure in a constructive and positive manner and contribute to creative resolution of problems as they arise.
  • Able to identify and analyze complex issues to recommend solutions.
Education
Required: High School Diploma or equivalent.
Preferred: Bachelor degree or higher in Business Management, Information Science or related field preferred.
License and Certification
Preferred: CRM, Information Governance Professional certificate, or similar.
Computer/Software Knowledge
Required:
  • Experience with records management software, such as IRM, File Trail and/or Intapp security products, Net Documents document management systems, accounting systems and archival software solutions required.
  • Substantial familiarity with Microsoft Office products, required.

Work Environment
  • This position requires that you work physically in our CA SMRH office a minimum of 4 days per week, and working from home the rest of the week (subject to change).
  • Evening and weekend work will be required as job duties demand.
Travel Requirements
Up to 10%. May require additional travel for special projects.
California: The salary range for this position is $120,000 to $140,000 per year.
