Purpose: The Middle School Administrative Assistant provides daily operational support to Middle School Administration and Teachers. Qualifications & Skills:
High School Diploma Required, Bachelor’s degree preferred.
Minimum of five year’s experience in an administrative support role.
Strong written and oral communication skills
Ability to effectively collaborate with colleagues
Proficient in Microsoft Office and Google Suite.
Effective problem solving skills.
Ability to use independent judgments and respond to urgent situations.
Even temperament in working with various Shelton constituencies.
Must maintain confidentiality.
Self-starter who can work without supervision.
Essential Functions:
Attendance and punctuality are essential to the successful performance of this job.
Receptionist duties for the Middle School (answers phone calls, greets visitors , shares making coffee, delivers communications to students and teachers, etc.)
Checks students in and out of MS for late and early dismissals
Maintains attendance records for middle school
Runs daily student attendance reports
Communicates excessive absences to parents
Assist with coordination of Saturday School attendees
Makes appointments for Middle School Head and Asst. Heads; returns phone calls with appropriate information
Prepares Middle School correspondence.
Updates Middle School data in appropriate spreadsheets.
Updates class rosters and other student data in FACTS.
Run weekly behavior reports for Asst. Heads
Assists with Orders - textbooks and school supplies.
Talks to vendors regarding Middle School Supplies (pocket folders, binders, and other supplies.
Assist with ascertaining Middle School teachers’ classroom needs and places order.
Assists with student trips logistics as needed.
Coordinates with parents to keep up to date and complete records.
Prepares and distributes Middle School letters , notices and flyers to parents.
Types schedules for student visits, outside visitors, teacher observations, etc.
Assists with Maintaining the confidential aggregate student files. aPrepares and sends student transcripts to other schools when requested.
Records testing, summer school requirements and other information from student aggregate file on MS new admissions document
Assists with maintaining shared areas in the Middle School Offices.
Maintains desk & reception area to reflect a professional welcoming appearance.
Assists with Maintaining organization and cleanliness of Workroom and Kitchen Area
Assists with Coordinating space reservations and required set up for scheduled meetings and functions
Assists with sending copies of documents, assignment sheets, etc. to parents and agencies.
Assist with incoming and outgoing MS mail and packages.
Assists Assistant Head monitoring EZ Sub and Scheduling substitute teachers.
Enters Students’ schedules in FACTS management system.
Maintains and updates changes in students schedules.
Prepares class, student, teacher, and conference schedules.
Prepares purchase orders.
Updates classroom advisory list as needed.
Assists in maintenance of Middle School copiers.
Maintains stock of forms and supplies.
Assists Summer School Coordinator as needed.
Assists middle school administration, teachers, parents and students as needed.
Other duties as assigned.
