Position Summary

Position open until filled / First Review of materials will begin: Tuesday May 28th, 2024

Salary range for this position is: $42,540/yr. - $53,952/yr. (depending on experience)

Applicants must be currently authorized to work in the United States on a full-time basis. The employer will not sponsor applicants for work visas.

Under the supervision of the Director of Dental Programs, the program coordinator provides and coordinates the program office operations for the Dental Programs. This person serves as the primary contact for students wanting to enter the Dental Programs and manage the student candidate application process.

This position is governed by a collective bargaining agreement with representation by WFSE

What you will be working on:

  • Provide customer service, answer questions, and provide information in-person, e-mail, and telephone to applicants, students, faculty/staff, affiliate clinical sites, and the public
  • Conduct informational sessions for the Dental Programs
  • Conduct outreach events to promote the Dental Programs
  • Interpret Program, Division, College, and District policies and procedures
  • Manage student candidate application process and maintain all student files
  • Collect, record, and file incoming student forms, such as health and immunization forms
  • Process required criminal history forms for students
  • Process all required documentation to enroll into and graduate from the Dental Programs
  • Follow through with long term projects, scheduling, preparing the workflow, coordinating with the director, faculty, staff, and affiliates to facilitate the completion of tasks by deadlines.
  • Assists with formatting all documents such as manuals, accrediting documents, handbooks, etc.
  • Assist with travel and sending hiring documents
  • Assist with the preparation of quarterly schedules, notify faculty of timeframes, check course data, review student records in ctcLink, and advise for revision/correction
  • Request reservations of classrooms, computer labs, and conference rooms
  • Review and correct course descriptions, fee codes, and other necessary data
  • Prepare purchase orders and invoice vouchers
  • Track and monitor faculty substitution requests
  • Monitor budgets of the Dental Programs and share budget status with the Director
  • Record and transcribe department, faculty, and TAC meeting minutes and other meetings as required
  • Adjust schedule to work some evenings and Saturdays as requested
  • Related duties as assigned in accordance with established guidelines of the department, division, and school.

What you bring as a candidate: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)

  • Possess specific knowledge of and have the ability to uphold policies and procedures of the Dental Programs, Division of Healthcare and Human Services, Seattle Central College, and the District
  • Ability to communicate effectively, both verbally and in writing, with individuals from diverse cultural backgrounds.
  • Ability to follow oral and written directions. Ability to work well with a team.
  • Ability to interact professionally and maintain cohesive working relationships with patients, students, faculty, affiliate clinical sites, and staff at the College and Dental Education Center
  • Ability to work independently, efficiently, prioritizing, and addressing multiple tasks simultaneously with attention to detail
  • Demonstrated ability to work effectively with multi-ethnic and culturally diverse populations
  • Experience with MS Office software (Word, Excel, Outlook, etc.) to prepare reports and compose business correspondence
  • Hold a driver¿s license to travel when necessary
  • Familiarity with dental office procedures and experience with dental terminology

Physical Requirements:

  • Typically works in an office environment and uses a computer, telephone and other office equipment as needed to Perform duties. The noise level in the work environment is typical of that of an office.
  • Encounters frequent interruptions throughout the workday.
  • Is regularly required to provide 1:1 support, present to small groups, and work at a computer exercising repetitive hand motion with or without reasonable accommodation.
