SafePlace, Thurston County's designated sexual and domestic violence services agency, has an opportunity for a Administrative Volunteer. Our organization has been providing services to sexual and domestic violence survivors and their families since 1981. Our sexual assault program is one of the oldest in the nation.

We are an accredited and nationally recognized feminist organization committed to anti-oppression efforts as the foundation for management and services. Job Title : Administrative Volunteer

Reports to : Training & Volunteer Program Coordinator

Mentor: Administrative Manager

Hours Per Week: Varied

SUMMARY

Provide Community Services Center reception, clerical, and administrative support for the agency.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Essential Duties and Responsibilities of this position include the following. Other duties may be assigned.

  • Provide general reception, clerical, and administrative support for the agency.
    • Answer Community Services Center telephones; respond to donation calls; and assist service vendors, volunteers, and members of the public.
    • Refer clients to appropriate direct service workers.
    • Handle requests for general information about SafePlace.
    • Assist walk-in donors, accept donations, and write receipts.
    • Process used cell phones and ship-off for recycling.
    • Read through incoming SafePlace emails daily and forward to relevant program managers.
  • Provide administrative support for the development team.
    • Data Management: Update the Donor Perfect database, including address changes from returned mail.
    • Donation Preparation: Prepare incoming check and cash donations for daily deposit.
  • Provide clerical and administrative support to staff and/or program areas.
    • Monitor inventory 
    • Maintain information in agency administrative notebooks and electronic files.
    • Assist with creating, updating, and typing forms and correspondence, as well as other paperwork needs.
    • Assist with specific database entries for program areas, as requested.
    • Assist staff and committees with administrative support, as needed and as time allows.
    • Assist in the distribution of agency brochures and handouts.
  • Handle incoming and outgoing mail and assist in mail and resource distribution.
  • Perform duties as described in a culturally responsive manner.

QUALIFICATIONS

MINIMUM QUALIFICATIONS

  • High school or general education diploma (GED).
  • A minimum of two years' general office experience and phone reception.
  • Experience with Microsoft Office, including a high level of proficiency in Word for Windows, Excel, and Publisher. Knowledge of creating Excel spreadsheets is essential. 
  • Working knowledge of Internet and e-mail.
  • Accurately type at least 60 words per minute.
  • Experience and demonstrable proficiency with word processing and database management systems.
  • Experience editing documents, newsletters, correspondence, reports, etc.
  • Experience typing business correspondence, reports, and proposals.
  • Excellent organizational and prioritization skills; ability to efficiently handle multiple tasks.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to work cooperatively with and take direction from staff directors.
  • Ability to handle stress effectively.
  • Sensitivity in relating to survivors of sexual and domestic violence.
  • Ability to work with people of different socioeconomic and cultural backgrounds.
  • Ability to maintain a positive attitude in a crisis intervention work environment.
  • Have a car, current liability insurance, and a telephone.
  • Commitment to the need for client and agency confidentiality.
  • Agreement with the SafePlace philosophy statement.

PREFERRED QUALIFICATIONS

  • Bilingual/bicultural in English and Spanish
  • Knowledge of WordPress or other multimedia platform(s)
  • Knowledge of Microsoft Office.

EDUCATION and/or EXPERIENCE

High school diploma or General Education Degree (GED) required, and a minimum of two years’ general office and clerical experience. Specific knowledge, experience, and abilities acquired must include the following:
