Royal Oaks Country Club Houston is Hiring a Purchasing Agent/Manager Near Houston, TX

Description

Job Summary:

Responsible for purchasing all food, beverage, and service-related items, including member supplies, furniture, fixtures, equipment, china, glass, silver, etc. Responsibilities include price negotiation, planning, production, inventory analysis and control and quality control.

Interactions:  Regularly interacts with vendors, department managers and staff.

Requirements

 Essential Functions:

  • Working knowledge of Club policies and guidelines outlined in the Houston Country Club Employee Handbook and Orientation Guide. 
  • Is responsible for accurate Inventories and makes purchases based on those inventories as well as referring to the Banquet Event Orders and general purchasing as required by Executive Chef or other Club Management.
  • Implement purchasing strategies and policies.
  • Forecast supply needs and requirements and act based on this forecast.
  • Build and develop relationships with key suppliers and vendors.
  • Lead procurement in all phases.
  • Prepare purchase requisitions, approve and issues purchase orders in accordance with company policy and negotiated terms and conditions.
  • Maintain related purchasing, vendor, and project files.
  • Track Purchasing activity and measurements.
  • Ensure supplier compliance with site and company requirements for safety.
  • Develop and review purchase requests and ensure authorization as necessary to facilitate the timely purchase of new food products.
  • Negotiate for the best cost for value on products and secure favorable purchase agreements.
  • Liaise with Accounts Payable to ensure accurate and timely payment of invoices, as necessary for the business with the suppliers.
  • Purchases supplies in accordance with standards set by Management and the Executive Chef
  • Supervises all receiving.

o Verifies quantity on invoice with quantity delivered.

o Checks weights and verifies with invoice.

o Checks that quality is within standards.

o Returns unacceptable items for credit or new items.

o Verifies extensions on invoices and verifies proper pricing.

  • Supervises issuing of all items from the Storeroom.

o Checks requisitions with menus to see that they match.

  • Maintain files of vendors’ stock lists, catalogs, price sheets and discounts.
  • Determines necessary par stock levels to provide adequate supplies and to minimize investments.
  • Inspects all storerooms. 
  • Monitor the flow of materials through the club.
  • Reviews financial statement to monitor expenditures in operational areas.
  • Cooperates closely with various department heads relative to special function requirements.
  • Daily review of department time records and makes necessary adjustments for absences, missed. punches etc. according to club policies and procedures.
  • Maintains updated schedules in timekeeper, reviews time records the end of each week and approves by the following Monday morning for payroll processing.
  • Performs all work-related duties as assigned by supervisor or General Manager.

Working Conditions:

Office Setting. Occasional exposure to hot, cold, and freezing temperatures and inclement weather conditions

Special Requirements:

  • Must be 18 years of age or older.
  • Must have at least 2 years of retail/restaurant purchasing experience or comparable work experience in the industry.
  • Must be able to work a flexible schedule and/or overtime if needed.
  • Must be available to work weekends and holidays.
  • Ability to keep information confidential.
  • Must possess an outgoing personality.
  • Must possess honesty and integrity.
  • Must always be courteous and tactful.
  • Must treat others with kindness and respect.
  • Ability to effectively communicate in a professional manner to staff. 
  • Ability to appear for work on time and follow schedule.
  • Ability to interact well with coworkers.
  • Ability to understand and follow posted rules and procedures.
  • Ability to follow directions from a supervisor.
  • Previous experience in storeroom management.
  • Basic knowledge of foods and menus.
  • Strong supervisory skills
  • Driver’s license and an acceptable driving record. 
  • Works well independently with minimal supervision
