Job Title: Agronomy Administrative Assistant
Reports To: Agronomy Division Manager
Department: Agronomy
Position Objective:
Run the Agronomy office in an approachable practical manner, having a positive and friendly attitude with customers and fellow co-workers. Ensure invoicing, payables, inventories, pricing, reports, and the Agris System are kept current and up to date for all Agronomy locations, Belgrade, Dillon & Townsend.
Primary Duties and Responsibilities
1. Record Keeping:
· Keep the Agris system accurate and up to date for all Agronomy locations.
· Keep the office running efficiently and professionally.
· Ensure Agronomy office stays current on daily paperwork.
· Invoice sales for all Agronomy locations in a timely manner.
· Maintain inventory and accounts payable for all Agronomy locations
· Understand and work in the Accounts Plus accounting program.
· Transfer and enter all invoice sales and payables into Accounts Plus.
· Upload Payables into DocuWare.
· Maintain up to date price lists, both in the computer and hard copy.
· Maintain accurate DOT files for truck fleet.
· Keep filing up to date and in neat order.
· Complete any typing jobs required by the Manager or Sales Agronomist.
· Work well with all departments and their Supervisors.
· Convey a positive attitude with customers and fellow employees.
· Have the ability to think clearly.
2. Customer Service:
· The Office Manager will have contact with the client through the phone, or in person when the client comes into the office, always be friendly and respectful of the patron.
3. Skills Necessary for Job Performance:
· Be familiar with basic Agronomy.
· Have basic computer and typing skills.
· General knowledge of bookkeeping ex: (accounts payable-inventory)
· Must have excellent communications skills, written and verbal.
· Be organized and maintain organization of the office.
· Be able to work beyond normal hours, including weekends in spring & fall through the busy season.
4. Personal Attributes Desired:
· Honest, hardworking and dependable.
· Able to get along with employees and customers.
· Be company oriented, willing to go the extra mile for the whole company and its patrons.
· Use common courtesy when dealing with customers or with company personnel.
· Be able to lift up to 50 lbs.
5. Sales:
· The Office Manager is not expected to make sales, they will be required to answer the phone, transfer calls and or take a message, ensuring the message gets to the proper person.
6. Training and Safety Requirements:
· Employee will be asked to attend monthly safety meetings.
· Must keep up to date on all Company training classes reading all manuals in a timely manner.
· Write up any accidents or mishaps, report to appropriate supervisor.
· Must adhere to all RMS policies and procedures.
7. Other Duties:
· Employee will periodically have to work in other departments under the direction of that Department Manager. Although still technically under the direction of the Agronomy Division Manager, you will comply with the direction of the Department Manager you would be working with.
· Any problems the Office Manager may have with other employees or other Department Managers, shall report the problem to the Agronomy Division Manager, or the CEO/General Manager.
· Rocky Mountain Supply, Inc would appreciate the willingness of the employee to support the Company in a variety of ways in addition to your daily duties. This might include attending but not be limited to company functions, such as: Annual Meeting; Employee Christmas Party; Company Picnic; Helping with Parades; Open House; Booths at the Fair
