JOB DESCRIPTION
Rockford Rescue Mission considers every position one of ministry and a vital part of our team. Therefore, it is essential that all staff of RRMM have a personal relationship with Jesus Christ and subscribe to our Statement of Faith and Core Values. Additionally, staff must be willing to lead and/or participate in Bible study, prayer, devotions, chapel and sharing the Gospel.
JOB TITLE:Receptionist
REPORTS TO:HR Director
PRINCIPAL DUTIES/RESPONSIBILITIES: To make every person who comes into contact with Rockford Rescue Mission either by telephone or in person to feel welcomed, encouraged and served in a Christlike manner.
WORKING CONDITIONS: Indoor office environment which requires sitting at a desk while answering phone and door 90% of the time. Computer work required. May require some lifting and moving of equipment and supplies. Ability to deal with general public as well as occasionally diffuse hostile situations.
A. GENERAL DUTIES
1.Operate the telephone/intercom system as required.
2.Answer the telephone, determine the nature of the call and transfer or relay the information to the appropriate department.
3.Maintain confidentiality of all pertinent information.
4.Report any equipment malfunctions to the appropriate director or supervisor.
5.Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the facility.
6.Answer the front door as needed and direct visitors according to the need.
7.Assist with general Mission information, etc.
B.SECRETARIAL DUTIES
1.Process and post all gift-in-kind receipts and thank you letters in a timely manner.
2.Compose, type and mail special thank you notes as assigned.
3.Assist in the stuffing and stamping of mailings as needed.
4.Assist in other secretarial duties as may become necessary or as directed by Supervisor or Chief Executive Officer.
5.Maintain all office files, records, forms, etc. in a neat and orderly manner.
6.Perform related work and other duties when required and as assigned.
C.RECEPTION AREA
1.Maintain Mission front vestibule entrance and walkway to be free of trash, debris, etc.
2.Assure that the reception area and visitor center are neat and clean and that non-monetary donations are taken to the proper areas.
3.Maintain office equipment in reception area and inform administrative assistant concerning supplies needed.
4.Responsible for finding a replacement for the reception area in case of absence.
5.Work with Volunteer Supervisor in developing a list of volunteers for the reception area.
6.Train designated staff and volunteers to fulfill reception duties.
D.PHYSICAL FACTORS
1.Sitting for extended periods of time.
2.Ability to lift up to 15 pounds.
3.Occasional standing, reaching and bending.
E.SPIRITUAL RESPONSIBILITIES
1.Share the Gospel of Jesus Christ and pray with visitors, callers, volunteers, residents, staff, and donors.
2.Use RRMs Mission Statement and Core Values as the foundation of communication.
3.Provide spiritual encouragement to staff, volunteers, guests, callers, and donors.
4.Invest in the spiritual development of staff, guests, residents, callers, volunteers, and donors.
5.Pray for and with staff, volunteers, guests, residents, callers, and donors.
6.Handle relational conflicts according to the Staff Covenant of Romans 12:18 and Matthew 18:15-19.
7.Memorize monthly Scripture, Mission Statement, and Mission Core Values.
8.Participate in corporate prayer and Scripture reading, staff chapel services, and all spiritual gatherings.
9.Support and attend annual mandatory Evangelism In-Service training to grow in knowledge of leading others to faith in Christ.
10.Participate in annual spiritual growth training through organization selected curriculum.
F. QUALIFICATIONS
1.Minimum requirement high school diploma or GED.
2.Must be able to deal tactfully with the public.
3.Must possess good communication skills.
4.Must be familiar with office equipment and operations.
5.Must have good phone skills.
6.Must have a broad level of understanding about the programs and functions of the Mission.
7.Must be teachable and function as a team player.
8.Must engage in safe and healthy work practices, both on the premises and off-site facilities. Must take an active part ensuring the safety, health and well-being of all of our staff, volunteers, and Mission guests.
