Robert D Gilmore & Associates Inc is Hiring an Office Assistant Near Newtown, PA

Description

The Project/Office Assistant provides administrative support for the Newtown office on various matters related to project needs.

This position is for full time or part time. 

Requirements

Essential Functions & Responsibilities:

· Assist with handling incoming requests from potential clients.

· From these requests the assistant will be required to obtain full contact information and detailed site information.

· Assist staff with administrative duties, such as copies, scans, faxes, emails, mail, etc.

· Prepare various memoranda, presentations, correspondence, reports, etc.

· Create and maintains office and field files.

· Handle incoming and outgoing mail. All incoming mail is to be scanned and saved to the appropriate project folder.

· Assist with preparing and finalizing proposals, service agreements/contracts 

· Assist with reviewing marketing proposals (RFP’s) and Invitations to Bid 

· Maintain conference room.

· Assist other department Project Assistants (as needed) 

Essential Qualifications:

· High School Diploma or G.E.D. Equivalent

· 1 years of experience in an administrative role

Desired Qualifications:

· Bachelor’s Degree in Business Administration or related area

· Work experience with an engineering or professional services background

Essential Knowledge, Skills & Abilities:

· Excellent communication skills, both written and oral

· Demonstrates the highest degree of ethical behavior and candor

· Strong interpersonal skills

· Ability to work with staff of all levels 

· Detail oriented and can self-manage tasks 

· Demonstrates discretion handling confidential information

· Proficient in Microsoft Office Suite (Word/Excel/Outlook) and Adobe Pro or Bluebeam

· Good organizational skills with the ability to multi-task and follow up
