RAMM Hospitality is Hiring an Administrative Assistant Near Bakersfield, CA

JOB SUMMARY

Provides administrative and personal support to the Corporate Office Management Team and Managing Members.

Responsibilities

  • Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records and files
  • Transmit information or documents using a computer, mail, or facsimile machine
  • Operate standard office equipment other than computers
  • Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software
  • Create and maintain computer- and paper-based filing and organization systems for records, reports, documents, etc.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities
  • Enter and locate work-related information using computers and/or point of sale systems
  • Assists Owners in preparing financial documents, banking applications, construction documents and legal documents for current and future properties.
  • Assists with ordering FF&E on projects, sets up all accounts for current & new construction projects.
  • Prepares email and letter communications and a variety of documents using Word, Excel and PowerPoint applications. In particular, these documents include editing and preparing parts of the committee approval documents; preparing pitch presentations for proposals and all sales, marketing and revenue related matters; which might be to owners / partners, outside specialist support company’s vendors and clients
  • Maintains, collates and distributes all relevant department paperwork reports in a timely manner
  • Operates Company vehicle when attending to errands for the company
  • Follows up on information with Owners, consultants and other third parties as necessary
  • Maintains diaries and schedules appointments and meetings
  • Responds to various requests for help and information
  • Performs other related tasks as assigned by management that may increase on a day to day basis.

Job Requirements

Qualifications

  • Minimum of 2 years' previous accounting or audit experience preferred.
  • Minimum 2-years professional construction office Administrative Assistant or equivalent.
  • Must have recent working knowledge of QuickBooks
  • Must be computer literate, with above-average knowledge of Microsoft Office products, including Word, Excel and Outlook (e-mail and calendaring).
  • Excellent communication and interpersonal skills.
  • Ability to handle multiple projects simultaneously.
  • Problem solving skills, ability to analyze data and to do a high volume of accurate work.
  • Proficient computer skills including e-mail, word processing, spreadsheets, routine database activity, and record keeping.
  • Must work across departmental lines with other managers and senior staff.
  • Must have a professional image and demeanor as a representative of RAMM

Physical Requirements

  • Must be able to lift and carry 25 pounds, as needed.
  • Sitting for extended periods of time.

Travel

Must be able to travel to other areas in Central California including Visalia, Fresno, Dinuba, and Paso Robles, as well as out of state as needed.
