Pullen Memorial Baptist Church is Hiring an Administrative Assistant Near Raleigh, NC

Function: The Administrative Assistant facilitates the efficient operation of Pullen Memorial Baptist Church by providing administrative and organizational support to staff and church councils and committees by performing various clerical and administrative tasks.

Duties and Responsibilities:

  • Reviews and manages the pastor’s emails, coordinates with the pastor for appropriate response, and maintains the pastor’s calendar, including scheduling or rescheduling appointments.
  • Serves as receptionist for the church office, including daily tasks such as opening the office, listening to phone messages and responding to requests; answering the phone and providing information; controlling the locked doors at the back main entrance and the green roof for entry of visitors and guests; responding to the buzzers at these two locked doors and providing information; assisting those seeking church help; greeting visitors; maintaining awareness of church calendar affecting the day’s activities; and sorting and distributing mail.
  • May assist in training office volunteers and/or interns as needed.
  • Receives and handles the building use request forms; manages the building usecalendar; asks Pastor and Church Administrator about any events that may be questionable in relation to Pullen’s mission or policies; communicates costs; coordinates rescheduling or conflicts; adds events to the internal admin planning application; and gathers additional information as needed.
  • Maintains office supplies and replenishes paper supplies.
  • Provides checks and balance for financial transactions – such as performing bank runs for cash deposits.
  • Assists with mailings with tasks such as making copies, stuffing envelopes, affixing postage and address labels, and occasionally dropping off at post office.
  • Provides proofreading assistance to staff with ongoing emails or updates to the congregation.
  • Prints sermons, congregational announcements, weekly email updates, and monthly church emails and processes them for mailing for those that cannot utilize email or attend services online.
  • Performs a variety of tasks in support ofstaff, as needed.

Relationships: Is supervised by the Pastor and Church Administrator; works cooperatively with all staff.

Qualifications: Some college preferred. Experienced with Microsoft Office, including Word, Excel, PowerPoint and ability to work with graphics. Similar experience working in church setting or for a non-profit. Must exhibit ability to act discreetly and with confidentiality. Attention to detail and excellent proofreading skills required.

Job Type: Part-time

Pay: $18.75 - $20.00 per hour

Expected hours: 20 per week
