PUENTE Learning Center is Hiring a Human Resources Assistant Near Los Angeles, CA

We offer classes for students ages 3 to 80 , from preschool to adults, including computer literacy, English as a Second Language, High School Diploma, a charter elementary school, and after school and summer programs. The Human Resources Assistant will report to the Director of Human Resources by handling the core day-to-day human resources administration related to group benefit programs, recruiting activities, record keeping, payroll, event coordination, maintenance of human resources systems and other general administrative HR functions. The role has an emphasis on providing exceptional customer service and development of strong employee relations initiatives.

Payroll and Human Resources Essential Duties and Responsibilities

  • Support with the processing of biweekly payroll using ADP Workforce Now and Comprehensive Services to ensure accuracy of time and attendance and other pertinent data
  • Maintain and update human resource records in in all administrative platforms and third-party sites as well as other applicable HR systems
  • Conduct periodic internal reviews and audits of HR Systems’ records to ensure accuracy and completeness of information
  • Support in the coordination recruiting activities including tracking of candidate resumes, scheduling and coordinating interviews, tracking candidate status and sending follow up communications to applicants
  • Support in the coordination of new hire process including initial communication with future employees, on-boarding documents set-up
  • Submit background check requests through DOJ/FBI for new hires, track and record status
  • Perform inputting and tracking of benefits administration for group health benefits, including medical, dental and vision plans as well as life insurance
  • Coordinate staff related events such as open enrollment meetings, monthly staff acknowledgements, staff development meetings and other various events and activities on an as needed basis
  • Perform customer service functions by accurately answering and resolving benefit related questions and inquiries and act as a liaison between employees and HR department as appropriate
  • Generate various reports and other metrics in support of the HR department’ strategic goals
  • Assist with the processing of terminations to include preparing termination/resignation of employment documents, scheduling exit interview, and preparing termination packets
  • Assist with various HR research projects and/or special projects
  • Track and ensure follow-up as needed with completion of Mid-Year Performance Review and Annual Performance Review
  • Maintenance of all organization’s job description to include updates as required
  • Ensuring compliance with company policies
  • Perform other duties as assigned by the Director of Human Resources

Finance Essential Duties and Responsibilities

  • Assist with submitting workers compensation bi-weekly reports and payments.
  • Reconcile monthly benefits for annual audit
  • Ensure the entry of biweekly payroll journal entries
  • Assist with submitting biweekly and quarterly retirement contribution’s payments
  • Oversee the petty cash fund including disbursements, replenishments requests and reconciliation of monthly report
  • Provide assistance with the annual audit
  • Support in submitting 403(b) annual report (Form 5500)

Knowledge, Skills and Abilities

  • Knowledge of human resources, payroll processes, and their best practices
  • Experience with ADP’s WorkforceNow module is a plus
  • Ability to manage multiple projects simultaneously
  • Excellent problem-solving and time management skills
  • Must maintain confidentiality/discretion with sensitive business and personnel data
  • A self-motivated individual is a necessity
  • Able to work independently with minimal supervision
  • Attention to detail is a must.
  • Effective in prioritizing and coordinating projects and tasks to meet deadlines
  • Works effectively under pressure.
  • Relates well to all kinds of people; uses diplomacy and tact; is an active listener

  • Proficient in Word, Excel, PowerPoint and databases

Qualifications

  • High School diploma or its equivalent
  • Proven experience of 3 or more years as an HR assistant, staff assistant or relevant human resources/administrative position
  • Bilingual, English/Spanish fluency
  • Ability to adapt to department requirements and needs
