Professional Staffing Services Group is Hiring a Construction Administrative Assistant Near Longwood, FL

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to our clients in the construction industry. In this fast-paced role, you will play a vital role in ensuring the smooth operation of our office and the success of construction projects.
This would be a contract-hire position where you will be on contract for 6-months before converting over permanently with the client.
Schedule: Monday-Friday 7am-11am with flexibility for additional hours as needed.
Responsibilities
  • Provide exceptional phone and email communication, acting as a professional point of contact for clients, vendors, subcontractors, and internal staff.
  • Manage project calendars, scheduling meetings, appointments, and travel arrangements for assigned personnel.
  • Prepare and maintain a variety of project documents, including contracts, purchase orders, change orders, and invoices.
  • Process accounts payable and receivable, ensuring timely payments and accurate financial records.
  • Assist with project procurement by researching vendors, soliciting quotes, and maintaining vendor relationships.
  • Maintain social media accounts for the company on LinkedIn, Facebook, & Instagram.
  • Compile and distribute project reports, presentations, and other essential documents.
  • Maintain a well-organized filing system for physical and electronic documents.
  • Order and maintain office supplies and equipment.
  • Perform other administrative duties as assigned.
Qualifications
  • Administrative experience required, preferably in a construction environment.
  • Selling experience required.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills with strong attention to detail.
  • Ability to prioritize tasks, manage multiple deadlines, and work independently in a fast-paced environment.
  • Strong organizational skills and the ability to maintain a clean and efficient workspace.
  • Familiarity with construction terminology and processes a plus.
