Established in 2020, ProClean Facility Services is a local, women-minority owned business delivering the most advanced top-of-the-line janitorial, landscape, and snow plowing services to clients in the Buffalo area.
Due to growth, we have created an Office Manager position to add to our current team of 25 employees. This person will work closely with the owners to organize all office operations including bookkeeping, payroll, staff management, and office management. This position is ideal for an independent proactive person that will enjoy creating policies and procedures.
Duties:
· Bookkeeping: Manage all accounts payable and receivable through Quickbooks. Receive and open mail, make payments, track time for staff, and create invoices for clients.
· Payroll: Review online timesheets on a daily basis to ensure accuracy and process payroll on a bi-weekly basis.
· Recruiting/Onboarding Staff: Asist owners with scheduling interviews for new staff and follow-up with all paperwork as required including offer letters, I9 forms, and tax documents. Provide an orientation to new employees for the timekeeping/payroll system and the general rules and policies.
· Employee Files: Create and maintain all employee files and audit annually to ensure accuracy. These will be located at the new office space.
· Office Management: Order supplies, manage client and employee inquiries, assist with the purchase and move-in of a new building.
Requirements:
· At least 5 years of experience as an Office Manager or Administrative Assistant with similar duties.
· Must have some experience with A/P and A.R.
· Experience with Zoho or Quickbooks is preferred. Otherwise, willing to research and learn.
· Strong organizational and multi-tasking skills.
· Excellent communication and interpersonal skills.

Pay: $20.00 - $25.00 per hour
