GBC OFFICE ADMINISTRATOR
SUMMARY
As GRITT Business Coaching (GBC) Office Administrator, you will have a significant impact on the success of our clients and the GRITT Business Coaching team. You will work closely with our esteemed business coaches and executives, and directly engage with our diverse range of clients. At GBC our office is wherever our clients are, whether on the road, on a plane, or across the US. With multiple Business Coaches supporting numerous clients, we are seeking someone who can turn chaos into order and create organization where none exists. We are looking for someone who is passionate about execution and takes pride in their work.
Your responsibilities will include streamlining the onboarding process for our clients, spearheading extensive event coordination, and driving engaging marketing efforts. With your keen attention to detail and professional demeanor, you will masterfully manage scheduling, provide top-notch service, and ensure effective resolutions and follow-ups.
Employee could be based at our headquarters in Holts Summit, MO or work in or near Springfield, MO with occasional travel to the headquarters office.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Foster strong partnerships with clients and coaches, scheduling tasks and updating project information within the HubSpot system.
  • Take ownership of the client onboarding process, handling everything from eNPS and billing to systems set-up.
  • Implement and execute processes independently with minimal direction.
  • Maintain clear and effective communication with internal teams and external clients, ensuring timely information relay and follow-up.
  • Coordinate conference and trade show events, from beginning to end including registration to logistics and booth operations.
  • Oversee all logistics for leadership training events, including communication and venue coordination.
  • Diligently research vendor invoices to ensure accuracy, safeguarding financial integrity before submission to accounting.
  • Craft professional correspondence to clients, coaches, and executives, catering to their unique needs and inquiries.
  • Efficiently manage a high-volume workload, utilizing strong multitasking skills to meet every deadline.
  • Handle incoming inquiries from internal and external clients with promptness and professionalism.
  • Perform various administrative tasks including managing marketing materials requests, coordinating shirt orders, developing and following up on Smartsheet tasks, and more with meticulous attention to detail.
  • Embody the desired culture and philosophies of the organization, setting a positive example for the team.
  • Collaborate effectively as a valuable team member, contributing to a harmonious and productive work environment.
  • Be open and ready to take on any other duties as assigned, demonstrating your commitment to the organization's success.
QUALIFICATIONS

  • Proficient and experienced in MS Word, Excel, and Outlook, able to effectively utilize these tools in daily tasks
  • Proven experience in managing high-volume scheduling with multiple parties, demonstrating strong organizational skills and attention to detail
  • Experience with project management software such as Trello and Smartsheet
  • A dedication to providing exceptional customer service
  • Excellent time management skills, consistently meeting deadlines and prioritizing tasks effectively
  • Ability to follow directions consistently and work autonomously with minimal supervision
  • Display initiative and a sense of urgency in daily duties, taking ownership of tasks and proactively seeking solutions
  • Outstanding verbal communication skills in person and via telephone, video, and other communication platforms
  • Demonstrated ability to multitask and thrive in high-pressure situations, maintaining composure and delivering results
  • Possess strong communication and problem-solving skills, effectively resolving issues and addressing concerns
  • Clear and concise verbal and written communication skills ensure accurate and efficient information exchange
  • Maintain a positive attitude and professional demeanor throughout each day, fostering a productive and collaborative work environment
  • Comfortable navigating multiple databases, quickly adapting to new systems and technologies
  • Knowledge of HubSpot is a plus, showcasing familiarity with CRM platforms and their functionalities
