The program assistant position will be temporary. This is an opportunity to work with our Programs Manager and Volunteer Manager within the community. This role requires fluency in Spanish and administrative support for our volunteer engagement and program staff.
Volunteer Program (60%) (Communications)
● Weekly social media posts, coordinated with the Data & Technology Center Coordinator.
● Send emails daily with shift reminders.
● Volunteer stewardship (birthday emails, voicemail/email outreach, etc.) (Volunteer Engagement)
● Support with general volunteer on-boarding
● Support with volunteer orientation outreach and reminders (Scheduling)
● 1:1monthlyvolunteer outreach
● Coordinator scheduling
● Support Data dashboard maintenance
● Trackvolunteer leader hours
● Volunteer Impact updates and support
Programs (40%)
(Food Pantry)
● Leads registrations for the Food Pantry:
● Food PantryDay of logistics
(Across Programs)
● Provide general operations support to the food pantry, collaborating closely with the Program Coordinator. Duties will include, but not limited to :
○ Lead support for the volunteer workforce inside the food pantry
○ Communicating closely with the outside volunteers and Program Coordinator
○ Stepping in as needed.
Required Qualifications
● High School Diploma or equivalent preferred
● Fluent in English and Spanish
● Proficient on a MAC computer and have excellent computer skills, including Microsoft Office, Google Suite, and able to navigate the internet for research and data
● Knowledge of systems like Canva and MailChimp
● Excellent organizational and time management skills
● Proficient in communicating, both orally and in writing
● Able to learn database systems such as Volunteer Impact Apricot (training will be provided)
● Self-starter and takes initiative
● Excellent work ethic: Maintain a professional attitude, demeanor, and confidentiality in matters of agency operations, personnel, and clients
● Follows and supports agency policies, vision, and mission
● Ability to work in a fast-paced and multicultural setting with a variety of different people, including staff, volunteers, and clients
● Ability to be flexible and manage multiple deadlines and priorities
