Administrative Assistant/ Office Manager

Position Summary:

We are seeking a reliable, organized administrative assistant to join our growing company. In this position, you will be welcoming all in-person visitors/customers and will support daily operations. This position requires multi-tasking with various administrative functions including order taking, responding to visitor and/or customer questions, a basic understanding of Accounts Receivables and Accounts Payable, coordination with warehouse fulfillment teams, and other clerical tasks (e.g. document creation, copying and distribution).

You should have excellent multitasking and organizational abilities, be able to effectively prioritize assignments, and complete them in a timely manner. A positive attitude, strong work ethic, and customer service focus are a must.

Responsibilities:

  • Receive and coordinate in-person visitors and/or customers
  • Manage and direct phone inquiries
  • Input inbound customer orders, with opportunity to grow into inside sales
  • Coordinate real-time order fulfillment for customer pickups with warehouse leads
  • Prepare invoices for customers while addressing issues with any inaccuracies
  • Coordinate with warehouse supervisors to update inventory data and ensure system accuracy
  • Drive customer experience by responding to customer issues in a timely, positive, and courteous manner
  • Manage customer questions related to our product catalog with focus on fulfilling customer needs (e.g. cross-selling, upselling)
  • Receive and send mail and packages on behalf of the business
  • Other clerical and/or administrative duties as assigned

Preferred Qualifications:

  • Language: Fluent in English (reading/writing/speaking)
  • Bilingual in English and Hindi, and/or other South Asian languages is a plus.
  • Work Authorization: U.S. Work authorization and background check and/or drug screening require
  • Work Experience:2-3 years of Sales, Customer Care and Accounts Receivable in an inventory-driven industry (Food industry and warehouse fulfillment centers is a plus)
  • Bachelors in Business Administration or related field preferred.
  • Technology: Proficient in Microsoft Office, Google Suite and Odoo (or similar ERP, such as Oracle NetSuite, and Accounting software i.e. QuickBooks).

  • Office environment with daily interaction with warehouse leads
  • Physically able to sit for long periods at front desk
