We are seeking a dynamic and organized Administrative Assistant to join our team. This role is crucial in supporting the administrative functions of our shelter while also managing our online presence through website updates and social media platforms. The ideal candidate will be passionate about animal welfare, a great communicator, and possess excellent organizational and multitasking skills.

Responsibilities

• Manage incoming and outgoing correspondence, including emails, phone calls, and mail
• Schedule appointments, meetings, and interviews as needed
• Assist with maintaining office supplies inventory and ordering supplies as necessary
• Accurately input data into the shelter's database, including animal intake, adoptions, medical records, and donor information
• Assist with generating reports and compiling data for grant applications and annual reports
• Greet visitors and respond to inquiries from the public in a professional and courteous manner
• Update and maintain the shelter's website with current information, including available animals for adoption, upcoming events, and donation opportunities
• Assist in implementing a social media strategy to increase the shelter's online presence and engagement
• Assist in the planning, implementation and evaluation of fundraising campaigns, including direct mail, e-mail and online giving campaigns
• Assist with planning and organizing fundraising events, adoption events, and community outreach activities
• Coordinate event logistics, such as securing venues, managing RSVPs, and arranging for supplies
• Assist with basic accounting tasks, such as processing payments, issuing receipts, and reconciling cash and credit card transactions
• Assist with donor acknowledgment and recognition efforts
• Provide general administrative support to shelter staff and management
• Assist with special projects and initiatives as assigned

Qualifications

• Strong communication skills, both verbal and written
• Excellent project management skills
• Detail-oriented, with strong organizational skills and the ability to manage multiple tasks simultaneously and meet deadlines
• Microsoft Office and social media familiarity
• Ability to work independently and as part of a team
• Experience with event planning and coordination preferred
• Passion for animal welfare

Job Type: Full-time

Pay: From $16.00 per hour

Schedule:

• Monday to Friday
• Weekends as needed
