Pokagon Band of Potwatomi Indians is Hiring an Administrative Assistant - Education Near Dowagiac, MI

 Service encompasses all aspects of the Pokagon Band of Potawatomi Indian’s governmental operations. Every employee shares the responsibility to provide exemplary service, dignity, and respect to all Tribal Citizens, the Tribal Council, and staff members. To this end, all employees have an obligation to identify and report any service problems, issues, or concerns and through designated channels, initiate, recommend, and actively participate in solutions.

 Position Summary: Perform administrative duties and provide program support for the Director of Education and department personnel. Assist clients by answering questions and reviewing programs and services.

Essential Functions:

  • Manage the department’s phone calls, faxes, and the EDU mail inbox by responding or distributing to the appropriate team member.
  • Coordinate travel arrangements for the department.
  • Assist with the preparation of policies and procedures and maintenance of department forms.
  • Support the daily operations of the department through performance of general office tasks and administrative duties.
  • Update department’s media platforms.
  • Sort and distribute in-coming mail, prepare outgoing mail and facilitate departmental mass mailings.
  • Maintain inventory of supplies, submit orders/requests, and be copied on all departmental requests. 
  • Maintain the department’s vehicles (mileage, check-ins/outs, oil changes, etc.)
  • Maintain the conference room and its calendar.
  • Submit or be copied on all “Communication Requests.”
  • Prepare and submit monthly reports.
  • Other duties as assigned.

Non-Essential Functions:

  • Perform other related functions as assigned. Perform other related functions as assigned. 
  • Perform account payable activities including the role of either first or second-level approver, and processing check requests.
  • Take departmental meetings as requested.

Equipment:

  • Standard office equipment.
  • Systems used: MS Office Applications.

Position Requirements:

  • High School Diploma or GED is required. Associate degree in office administration, Education, Business, Humanities, or Management from an accredited institution whose program of study has been recognized by the Council for Higher Education Accreditation or the United States Department of Education is preferred. 
  • Minimum of three (3) years of prior administrative support work experience. 
  • Intermediate level proficiency with Microsoft Office applications.
  • Experience with website management, Sharepoint and CRM preferred.
  • Strong delivery of positive service and good communication skills, both oral and written.
  • Knowledge, intellect, temperament, and flexibility to work effectively in a fast-paced, environment.
  • Ability to work independently and accomplish tasks efficiently, but also be a strong team member and step up to help the team in completing projects and achieving department goals.

Physical Requirements:

  • Work is generally sedentary in nature and will frequently require sitting, however standing and walking will occasionally be necessary.
  • Frequently required to use hands and fingers to operate equipment. 
  • Frequently required to talk and hear. 

Work Environment:

  • General office environment. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.
