Planet Pharma is Hiring an Administrative Assistant / Receptionist Near Deerfield, IL

3.5 week contract covering for a leave

$26 per hr max pay

Onsite M- F - Deerfield, IL

Essential Functions:

Reception

  • Responsible for being seated at Front Desk ready to cordially greet and assist visitors between the hours (Central time) of 8am - 4pm, Monday through Thursday and 8am -12pm on Fridays. Hours subject to change in the future based on business need.
  • Responsible for adhering to regulations for checking in/out visitors. Responsible for Visitor Registration System/Process and visitor badge distribution and tracking.
  • Promptly, professionally and courteously assesses 100% of received calls/inquiries and directs or relays messages to the appropriate party.
  • Signs for deliveries and notifies appropriate parties via e-mail that package(s) are waiting at the Front Desk.
  • Reserves taxi/limousine as requested by visitors.
  • Communicates appropriate building announcements to Home Office employees.
  • Maintains a clean and neat reception area at all times.

Administrative

  • Provides shipping and messenger services as needed. This includes preparing certified mailings for Accounting and Finance and entering new Sales Representatives into shipping system.
  • Updates company phone directories and office map as changes occur (Hires/Terminations/Title Changes/Relocations).
  • Provides support in ordering business cards, making travel arrangements, expense reporting, meeting catering, and other administrative assignments as needed.
  • Works with Regulatory Department to ensure FDA procedures are up-to-date. Must ensure that all employees who work at the Front Desk are trained on these procedures.
  • Conduct semi-annual training for Administrative Assistants who support the Front Desk.
  • Tracks office supplies, inventory and orders supplies when needed.
  • Responsible for Building Fire Evacuation Plan, meets with Building Security and Fire Marshalls on an annual basis.
  • Provides back-up for the Facilities team when needed, assists with filling condiment stations and ordering supplies.
  • Offer Office Manager administrative support as needed.

Required Education, Experience, and Skills:

  • High School Diploma/GED.
  • 2 years of receptionist experience.
  • Excellent customer service and telephone etiquette.
  • Experience operating a phone with multiple lines.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Clear and professional written, oral, and interpersonal skills.
  • Ability to multi-task.
  • Demonstrated initiative and flexibility.
  • Ability to accomplish set objectives with minimal supervision.
  • Detail oriented and self-motivated.
