Pediatrics Plus is Hiring an Administrative Assistant - Russellville Near Russellville, AR

We are currently seeking an Administrative Assistant to join our team of highly qualified professionals that share our vision of Empowering Children to Conquer their World! This role provides administrative/clerical support and customer service for therapy operations.

What you will do:

  • Promote a friendly atmosphere for families, staff and visitors
  • Understand the internal processes required for a child to receive services
  • Understand various funding sources for therapy. Assists in explaining and obtaining signed financial documents from families
  • Assist in communication with families and Financial Service Coordination when changes in funding occur
  • Assist with deTASO documentation corrections as related to classrooms and therapy times
  • Attend weekly one-on-one meeting with Therapy Director
  • Analyze daily, weekly, and monthly reports prior to one-on-one with Therapy Director
  • Complete administration tasks such as, filing, discharging files, making employee/student badges, checking in patients, answering phones, processing Welcome Packets, collecting payment for therapy and preschool, checking/distributing mail, ordering supplies, etc.
  • Answer or direct e-mails, calls, and in-person questions regarding services appropriately and timely
  • Communicate with preschool personnel regarding any parent/visitor for the preschool
  • Assist site administrative support team in planning events for the site
  • Assist with tours for families
  • Complete closing procedures
  • Cross train with Administrative Coordinator /Therapy Coordinator and ABA Coordinator

Education/ Certification:

  • Bachelor's Degree Preferred

Skills/ Abilities: 

  • Ability to communicate effectively and professionally with a wide variety of people
  • Must be able to work with children birth to age 21 and their families
  • Strong organizational skills with attention to detail and accuracy
  • Basic computer skills which includes a working knowledge of database, word processing, spreadsheet, and internet software
  • Ability to communicate effectively and professionally with a wide variety of people
  • Ability to problem solve and think about how changes in funding could affect our clients financially
  • A desire to serve families and go the extra mile
  • Ability to handle multiple tasks in a very busy environment
  • Ability to read and interpret documents such as safety rules, policies, and other company documents
  • Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of families or employees of organization
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
  • Ability to add, subtract, multiply, divide, in all units of measure using whole numbers, common fractions, and decimals
  • Ability to maintain regular and punctual attendance. Ability to complete tasks in a timely manner

Essential Physical Requirement:

While performing the duties of this job, the employee is frequently required to talk or hear. The employee is regularly required to walk, sit, use hands and fingers to handle, lift, feel, and reach. The employee is frequently required to stand and stoop, twist, bend, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include near and distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. The employee is required to maintain regular and punctual attendance. The employee is required to complete tasks in a timely manner.
