Lead Administrative Assistant– Elementary Prescott Elementary School

2024-2025 School Year

Hourly Rate: $23.32 - $30.69 DOE; Job Classification N1

Salary and fringe benefits as per Agreement between Board of Education and O.S.E.A. (Oregon School Employees Association)
Hours:  40 hours per week

Days: 215 days per year

Overview: 

The job of “School Secretary Lead” is done for the purpose/s of providing clerical support to school site administrative functions; conveying information regarding school and/or District functions and procedures; ensuring compliance with financial, legal, and administrative requirements of assigned functions.

Job Requirements:

  • Prior job-related experience with increasing levels of responsibility
  • High School diploma or equivalent

License, Certifications, Bonding, and/or Testing Required:

  • Criminal Justice Fingerprint Clearance (cost to the employee: $12.50 for fingerprints; $66.00 for criminal background check – one-time payroll deduction)
  • First Aid/CPR/AED certification, or the ability to obtain

Skills, Knowledge and/or Abilities Required:

  • Skills to operate standard office equipment including telecommunication equipment and computer applications, use English in both written and verbal form, use correct spelling, grammar and punctuation.
  • Knowledge of rules and regulations related to assigned functions, recordkeeping, standard office equipment.
  • Knowledge of rules and regulations related to assigned school, basic budgeting, financial and statistical record keeping, standard office equipment.
  • Abilities to work with constant interruptions, sit for prolonged periods, work independently, understand and carry out oral and written instructions. Significant physical abilities include reaching/handling/fingering, talking/hearing conversations, near visual acuity/visual accommodation.

  • Bilingual
  • Experience working with diverse student populations preferred

Position Details

Essential Job Responsibilities:

  • Administers first aid and medication to students for the purpose of meeting their immediate health care needs.
  • Composes documents (e.g. correspondence, agendas, minutes, bulletins, reports, etc.) for the purpose of communicating information to school and district personnel, the public, state officials, etc.
  • Evaluates situations (i.e., involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution..
  • Monitors assigned activities and/or program components (e.g. attendance, program budget, timesheets, etc.) for the purpose of ensuring compliance with financial, legal and/or administrative requirements.
  • Oversees work assignments of others ( e.g. volunteers, etc.) for the purpose of providing orientation and meeting operational requirements.
  • Prepares written materials (e.g. brochures, newsletters, etc.) for the purpose of conveying information regarding school and/or district activities and procedures.
  • Processes documents and materials (e.g. schedules, agendas, state reports, mail, etc.) for the purpose of disseminating information to appropriate parties.
  • Oversees the financial and accounting functions of the school.
  • Responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required.
  • Supervises students for the purpose of monitoring students referred for disciplinary actions.
  • Supports principal and/or other school administrative personnel for the purpose of providing assistance with their administrative functions.
  • Utilizes telecommunication system for the purpose of providing a method of efficient communication.
  • Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
  • Handles funds for the purpose of processing student fees, sale of products, etc.
  • Supervises student workers for the purpose of ensuring appropriate class credit and/or learning experience.
