JOB TITLE: Front Desk Receptionist
DEPARTMENT: Human Resources
RESPONSIBLE TO: Director of Human Resources
EDUCATION: High School Diploma or GED Equivalent
TRAINING AND EXPERIENCE: One year (1) previous experience with multi-line phone system operation and general administrative office skills.
POSITION SUMMARY: The Front desk Receptionist provides administrative support for the Human Resources department and operates the multi-line phone system.
NECESSARY SKILLS: Courtesy and cooperation in dealing with patients, visitors, and staff.
Coordination of phone system operations; including routing calls appropriately and good judgment in divulging information.
Must thoroughly understand the Center's operations and the functions of staff.
Familiarity with administrative policies regarding confidentiality of patient information.
ESSENTIAL FUNCTIONS:
Greet and welcome guests as soon as they arrive in the HR department.
Answer, screen and forward incoming phone calls utilizing multi-line phone system.

Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Provide basic and accurate information in-person and via phone/email
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk
Order front office supplies and keep inventory of stock
Update and maintain accurate personnel directory
Perform other administrative duties such as filing, photocopying, transcribing and faxing
Maintain confidentiality in all matters relating to patients, clients and employees.
Welcomes patient and visitors to the medical center by greeting patients and visitors in person and on the telephone; answers inquire or refers questions to other staff members.
Professionally administer all incoming telephone calls through the operation of a multi-extension telephone system.
Ensure that all telephone calls are directed to the proper the proper information source based on thorough knowledge of the Center's operations, personnel, and personnel policies.
Provide administrative support to the human resource department. Type and distribute department correspondence, reports and memos upon review.
Provide information to staff, applicants, vendors, etc., about job openings.
Create, maintain and update various spreadsheets utilizing Microsoft Excel.
Receive, sort, log, date stamp and distribute all incoming mail.
Assist with the employee recognition program (i.e. employee appreciation, birthdays, etc.)
Perform other job-related tasks as assigned.
QUALIFICATIONS/REQUIREMENTS:
Excellent phone etiquette
Excellent verbal communication skills
Able to work with minimum supervision
Should be customer service driven
Working knowledge of Microsoft Office (Word, Excel, Publisher)
Able to multi-task — answer the telephone and perform clerical duties
Professional appearance
8:30 AM - 5:00 PM- Monday, Tuesday, Thursday, Friday
11:00 AM – 7:30 PM Wednesday
40 Hours
