We are seeking an Administrative Assistant to join our team in the Boulder office and provide administrative support to our Chief Executive Officer, Chief Media Officer, and EVP of Media Sales. This role is pivotal in ensuring the smooth operation of the executive’s daily operations by primarily focusing on scheduling and other administrative tasks. This person must have an ability to multitask by managing the schedules and requests for three extremely busy executives. This is not a remote position.

Job Summary:

As an Administrative Assistant, you will play a critical role in supporting our three executives by efficiently managing their schedules and providing general administrative assistance. You will be responsible for coordinating a high volume of meetings, managing calendars, and handling various administrative tasks to enhance the productivity and effectiveness of our leadership team.

Key Responsibilities:

  1. Scheduling and Calendar Management:
    1. Coordinate and manage complex calendars for three executives.
    2. Schedule both in person and virtual meetings considering time zones and priorities.
    3. Anticipate and resolve scheduling conflicts efficiently.
  2. Travel Arrangements:
    1. Arrange domestic travel, including flights, accommodations, transportation, and itineraries.
    2. Ensure executives have all necessary travel documents and information.
  3. Meeting and Event Coordination:
    1. Organize and prepare materials for meetings, presentations, and conferences.
    2. Reserve meeting rooms, catering, and equipment as required.
  4. Administrative Support:
    1. Handle administrative tasks such as expense reporting and contacts management.
    2. Assist in preparing reports, presentations, and documents as requested.
    3. Assist with ordering food and catering as needed.
    4. Provide ad-hoc support to the executive team as needed.
  5. Confidentiality:
    1. Maintain strict confidentiality of sensitive information and documents.

Qualifications:

  • 3 years proven experience in administrative support or similar role.
  • Proven experience managing extremely busy schedules, making decisions about conflicting requests, and adapting to shifting priorities.
  • Associate's degree or bachelor's degree preferred.
  • Proficiency in Google Workspace suite (Gmail, Docs, Sheets, Slides).
  • Exceptional organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to handle multiple tasks and prioritize effectively.
  • Discretion and ability to handle sensitive information with confidentiality.

Colorado Jobs: Employees can expect to be paid a salary between $45,000 to $60,000. Additional compensation may include a bonus or commission. Other benefits include health care, vision, dental, retirement, Flexible Time Away, sick leave, and many more. The salary range displayed is specifically for those potential hires who will work or reside in the state of Colorado if selected for this role, and may vary based on market data/ranges, an applicant’s skills and prior relevant experience, certain degrees and certifications, and other relevant factors.
