Job description

Position Summary:

The Receptionist is responsible for ensuring that front desk processes are completed accurately and promptly. This includes working closely with the Office Manager and Sr. Inventory Control Specialist to support the DDPU staff by making certain the break room and lobby are tidy and stocked as well as assist with incoming deliveries, disseminating packages to proper departments and covering any other administrative duties as needed.

Job Responsibilities:

  • Greet visitors, welcome them warmly and professionally, issue visitor badges, direct visitors to appropriate personnel and ensure they sign-in/out plus return the badges.
  • Restock the breakroom as needed.
  • Ensure the copy room paper trays are refilled and the paper shredding machine is functional.
  • Make sure the conference room is tidy before any meetings.
  • Make Office Manager/Sr. Inventory Control Specialist aware of any break room/office supply re-orders.
  • Ensure the front desk and the lobby is organized and clean.Assist with deliveries.
    • Opening boxes
    • Scanning packing slips
    • Disseminating packages through the facility
    • Unpacking large deliveries in warehouse and keep it clean and organized.
  • Maintain and file invoices, correspondences, pack slips that have been received and saved on SharePoint and NetSuite
  • Conduct office errands when needed or necessary.

Ideal qualifications

Qualifications:

High school diploma or GED and 5 – 10 years of directly applicable experience required.

Skills/Knowledge Required:

  • Strong Interpersonal Skills / Customer Oriented
  • Multi-Tasking Abilities, attention to detail, organizational skills
  • Prior experience in data entry
  • Excellent communication skills, critical thinking skills
  • Record-keeping skills
  • Ability to work on a deadline
